Your primary responsibility will be service dispatch and calendar management for our field technicians—ensuring break-fix tickets are scheduled efficiently, technician time is maximized, and active tickets move smoothly toward resolution. Additionally, you will manage our Accounts Receivable process using QuickBooks Online to keep invoicing accurate and cash flow steady. Key ResponsibilitiesDispatch & Technician Scheduling (Primary Focus - ~60%)
Active Ticket & Calendar Management:
Actively monitor, triage, and dispatch incoming break-fix service tickets using Autotask .
Technician Route & Schedule Optimization:
Assign and schedule onsite client visits for 3 field technicians across Texas, minimizing drive time and maximizing daily productivity.
Queue Supervision:
Ensure active tickets move through status stages promptly; follow up with technicians on open tasks, time entries, and client updates.
Time Management Support:
Assist technicians in prioritizing their daily workloads and keeping their calendars up-to-date.
Client Communication:
Serve as the first point of contact for client dispatch calls, providing updates on technician ETAs and scheduling confirmation.
Manage inbox:
Help manage tech inbox for optimal workload. Accounts Receivable & Financial Admin (~30%)
Invoicing:
Generate and send accurate client invoices via QuickBooks Online in coordination with closed ticket/service activity.
AR Management & Collections:
Monitor aging accounts, send payment reminders, and make polite, persistent calls to collect on past-due balances.
Business Sales Tax :
Preparing and handling business sales tax.
Payment Processing:
Receive and record incoming payments (credit card, ACH, checks). General Office Administration (~10%) Answering phones and assisting clients in a professional, friendly manner. Maintain organized digital records for client communications and billing. Assist executive leadership with general administrative tasks as needed. Managing our business social media accounts and posting content. Assisting walk-in clients with basic questions and minor issues. Light cleaning.
Qualifications & Requirements Experience:
2+ years of administrative, dispatching, or office management experience (experience in an MSP, IT service desk, or field service industry is a strong plus).
Software Skills:
QuickBooks Online proficiency highly desirable. Prior experience with Autotask would be nice but not required. Proficiency with Microsoft Office / Google Workspace.

Reliability:
Punctual and able to work on-site Monday through Friday, 8:00 AM - 5:00 PM.
Pay:
From $19.00 per hour Expected hours: 40.0 per week
