Position Summary The Office Manager is responsible for overseeing the daily administrative operations of the office to ensure efficiency and organization. This role manages office operations, coordinates schedules, maintains financial records, and serves as the primary point of contact for clients, vendors, and employees. The ideal candidate is a QuickBooks Master , with advanced experience managing payroll, accounts payable, accounts receivable, invoicing, financial reporting, bank reconciliations, and maintaining accurate company financial records while ensuring smooth day-to-day business operations. Key Responsibilities Oversee the day-to-day operations of the office. Answer and manage incoming phone calls, emails, and correspondence. Schedule appointments, meetings, and company events. Process payroll and maintain employee time records. Manage accounts payable (AP) and accounts receivable (AR). Prepare and process invoices, purchase orders, and payments. Maintain accurate filing systems, both physical and electronic. Utilize QuickBooks or other accounting software for bookkeeping and financial reporting. Maintain and update project information in Procore, Encompass, and other software. Create and maintain client accounts and company records. Coordinate with vendors, subcontractors, and customers. Order and maintain office supplies and equipment. Assist management with reports, budgets, and administrative projects. Ensure company policies and procedures are followed. Maintain confidentiality of company financial and business information. Qualifications High school diploma or GED required; Associate's or Bachelor's degree preferred. Three or more years of office management or administrative experience. Bilingual (English and Spanish) is required. Proficiency in Microsoft Office (Word, Excel, Outlook). Advanced proficiency in QuickBooks (QuickBooks Master). Knowledge of payroll, invoicing, accounts payable, and accounts receivable. Strong organizational and time management skills. Excellent verbal and written communication skills. Ability to multitask and prioritize in a fast-paced environment. Strong attention to detail and problem-solving abilities. Physical Requirements Ability to sit for extended periods. Occasionally lift up to 25 pounds. Ability to operate standard office equipment.
