The Office Manager is responsible for overseeing the daily administrative and financial operations of Schuman Equipment. This position requires strong organizational skills, proficiency in QuickBooks, excellent customer service, and the ability to manage multiple priorities in a fast-paced equipment sales and service environment.
Essential Duties & Responsibilities:
Manage daily office operations to ensure efficient workflow and organization. Utilize QuickBooks to process accounts payable, accounts receivable, invoicing, payments, and bank reconciliations. Maintain accurate financial records and assist with month-end reporting. Process payroll and maintain employee time records (if applicable). Answer and direct incoming phone calls in a professional and courteous manner. Greet customers and provide exceptional customer service both in person and over the phone. Prepare estimates, invoices, purchase orders, and customer statements. Coordinate with vendors regarding orders, billing, and account inquiries. Maintain inventory records and office supply levels. File, organize, and maintain electronic and paper records. Assist management with scheduling appointments, meetings, and service work. Support equipment sales and service departments with administrative tasks. Receive and distribute incoming mail and shipments. Ensure compliance with company policies and maintain confidentiality of financial and personnel information. Perform general clerical duties including data entry, copying, scanning, and document preparation. Assist with special projects and perform other duties as assigned.
Qualifications:
High school diploma or GED required; associate degree in business or accounting preferred. Minimum of 2 years of office management or administrative experience. Strong working knowledge of QuickBooks is required. Proficiency in Microsoft Office (Word, Excel, Outlook). Excellent organizational, communication, and multitasking skills. Strong attention to detail and accuracy. Ability to work independently while managing multiple priorities. Professional appearance and positive attitude. Experience in equipment, construction, agricultural, or industrial industries is a plus.
Preferred Skills:
Bookkeeping and basic accounting knowledge. Experience processing payroll. Customer service and vendor relations experience. Strong problem-solving and time management skills. Ability to maintain confidentiality and handle sensitive financial information.
