Office Manager Job Summary:
Under the direction of the LSFRC Business Office Director, the Administrative Assistant assists in the day-to-day admission, referral and accounting functions of the Center, in accordance with current acceptable accounting and cost reimbursement principles relating to behavioral health care operations. The LSFRC Administrative Assistant will receive screening and referrals from the public at large. Upon acceptance of the referral the Administrative Assistant will notify the appropriate clinician and QBHP, as well as the nursing staff to schedule the intake process.
Duties:
1. Responsible for being first contact for walk -in and scheduled patients, 2. Answer and place telephone calls; assist caller if possible or transfer calls to the proper individual; take and deliver messages; greet and assist clients/visitors, 3. Complete registration and scheduling of new and follow up patients, 4. Assist with prior authorizations 5. Oversee referrals from both internal and external partners, and complete Screening and Referral form 6. Maintain clear communication with patients, referral sources, supervisor, clinical team, and other parties 7. Intake photo ID, insurance cards, etc., verify eligibility 8. Facilitate transactions for co-pays, co-insurance, self-pay, other payments and maintain clear and concise accounting records 9. Assist with credentialing duties 10. Maintain and track licenses and certifications to ensure they are up to date for clinical staff 11. Assist clients with sliding scale fee schedule applications 12. Assist with payment posting 13. Document and track missed intake appointments in software 14. Send monthly invoices to patients with balance 15. Other duties as assigned Essential job functions: Duties 1-15 are designated as ADA essential functions and must be performed in this job. All other job duties are secondary functions .

Minimum Qualifications:
1. A high school diploma or equivalent 2. 21 years of age or older 3. One year experience in an office environment 4. Follows all policies and procedures of the Arkansas Department of Human Services, Division of Youth Services, Arkansas Child Welfare Licensing Board, and other board/commissions that the agency relates to professionally 5. Adheres to all agency policies and procedures 6. Demonstrates necessary knowledge and skills to perform the job duties, keeping current with new and best practices 7. Successfully passes initial and random drug screenings 8. Basic knowledge of office equipment; ability to produce and maintain records utilizing various software programs as necessary. 9. Possess a valid driver's license 8.
Successfully passes initial background screening:
must be free from convictions outlines in in A.C.A §9-28-409 (e) (A-CC) and be free from substantiated finding of abuse or neglect of children or the elderly.
Preferred Qualifications:
1. Previous experience as an Administrative Assistant 2. Previous experience as a Medicaid and/or third-party biller 3. Experience (2-4 years) in the not-for-profit sector, or in child, youth and family services 4. Associate's degree or
Technical Certificate Other:
1. This position will have a ninety day probation period 2. This position will be reviewed annually as part of an annual performance evaluation 3. Regular and consistent attendance is a condition of continuing employment The specific duties associated with my position may be modified to meet the changing needs of the agency. Your supervisor will notify you if there are changes in the tasks associated with this position.
PERFORMANCE STANDARDS
Solid performance will be demonstrated when: 1. The Administrative Assistant presents as a professional in all dealings 2. The Administrative Assistant ensures concise recordkeeping of all clinic transactions 3. The Administrative Assistant collects all co-pay, co-insurance, and self-pay fees at the time of service 4. The Administrative Assistant consistently tracks OMIG reporting data and reports to the Office Manager 5. The Administrative Assistant complies with privacy laws, regulations, and rules 6. The Administrative Assistant assists Office Manager with quality control and quality improvement activities 7. Hourly Rate:
$15-$17 per hour, depending on experience
Pay:
$15.00 - $17.00 per hour
