ATTENDANCE SECRETARY DEFINITION
Under the supervision of the Assistant Principal, to perform a wide variety of responsible clerical work; to assist the school official by relieving him/her of clerical detail; to assist in the posting and compiling of attendance records; and to do related work as required.
EXAMPLES OF DUTIES
  • Performs a wide variety of clerical duties for the Assistant Principal.
  • Maintains files and other records related to attendance.
  • Compiles information and prepares a variety of attendance reports for students on a monthly, semester and yearly basis.
  • On a bi-weekly basis, prints attendance sheets and absence forms.
  • Prints on a daily basis, absence verifications forms for every teacher.
  • Supervises collection of absence slips daily.
  • Participates in the compilation of absences.
  • Scans absence lists on the computer system on a daily basis.
  • Receives phone calls or notes from parents explaining student absences.
  • Makes phone calls to parents to determine reasons for absences.
  • Maintains current and accurate count of student population.
  • Issues absence slips, posts reasons for absences and late arrivals.
  • Coordinates Saturday School records and attendance.
  • Issues trip slips to students upon request.
  • Gives information to parents, teachers and school officials from attendance files and records.
  • Processes checkout forms for transferring students.
  • Delivers messages from parents to students.
  • Prepares orders for attendance supplies for the Assistant Principal.
  • Greets and directs visitors and telephone callers and either answers questions concerning the school's activities, or programs, or refers persons to another source of information.
  • Sets up auto-dialer to call parents to inform them of any student absences.
  • Operates office machines including but not limited to computer, typewriter; copying machines, scanning machine; and uses two-way radio as needed.
DESIRABLE QUALIFICATIONS
Knowledge of:
Business English, spelling, punctuation; modern office practices, procedures, and equipment; good receptionist and telephone techniques; letter and report writing, common office machines and their operation.
Ability to:
Speak and write English and Spanish fluently; communicate with parents in a professional manner; interpret and apply pertinent school district procedures, policies, laws, rules and regulations, and to apply them with good judgment in a variety of situations; compose correspondence independently; perform responsible clerical work with accuracy and speed; make arithmetical calculations with speed and accuracy and maintain statistical records in an office setting with constant interruptions; type at a speed of 55 words per minute; operate office equipment such as adding machines, copying machines, typewriters, and computers; meet the public tactfully and courteously and answer questions correctly; compile and maintain accurate records and files; understand and carry out oral and written directions; establish and maintain cooperative relationships with those contacted in the course of work.
Experience:
One year of experience performing work comparable to general office clerk in a public school or two years of responsible and varied experience in the clerical field, including experience involving some statistical or financial record keeping.
PHYSICAL ABILITIES
  • Visual capability to read handwritten or typed documents and the display screen of various office machines and equipment.
  • Able to conduct verbal communications and conversations.
  • Ability to hear normal range of verbal conversations (approx. 60 decibels).
  • Able to sit, stand, stoop, kneel, bend and walk.
  • Able to sit for sustained periods of time.
  • Able to climb slopes, stairs, steps and ladders.
  • Able to lift up to 30 pounds.
  • Able to carry up to 30 pounds
  • Able to operate office machines and equipment in a safe and effective manner.
  • Demonstrate manual dexterity necessary to operate calculator, typewriter and/or computer keyboard at the required speed and accuracy.
