The Administrative Clerk's job duties include, but are not limited to, filing, scanning, and maintaining office organization, maintaining office appearance, creating clinical materials, answering any incoming calls, and providing general support to all employees and visitors of the office. Essential Job Functions Support the Administrative Assistants in office management duties, such as office maintenance, mailing, supplies, and equipment Phone duties (as necessary): o Answer incoming calls, transfer to appropriate staff member, transfer to voicemail when unavailable o Listen to voicemails, e-mail messages to appropriate staff member Welcome all visitors into office with eye contact and a smile Manage office sign-in sheets, and ensure that all clients and employees sign in and out of the office Create clinical materials as requested by clinical staff Maintain office calendar for conference room and social skills room use Ensure that all supplies are stocked in appropriate areas on a daily basis: Printer ink and toner, Bathroom supplies, Client binders and CPA folders Ensure that office is kept clean and orderly on a daily basis Ensure that all client files are scanned and uploaded to Central Reach in a timely manner: Shred documents if required File purged client data on an as-needed basis Unpack and distribute orders on an as-need basis Maintain supply room organization Complete any miscellaneous duties on an as-needed basis when assigned by regional Director or Operations team Skills and Abilities Microsoft Office basics (Word, Excel, Outlook) Excellent verbal and written communication Time management, prioritization, and organization Education, Licenses, and Certifications High school diploma, Bachelors degree preferred Experience Previous experience in an office setting preferred Experience with HIPAA highly preferred Additional Requirements Valid driver's license and auto insurance (driving is required). Must pass a background and reference check Good driving record Reliable transportation Enthusiasm and professionalism •Bilingual preferred(Spanish) Physical Demands/Work Environment The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
