  • Administrative Assistants are responsible for maintaining appearance and order of the dental office, as well as coordinating patient scheduling and overall patient management.
This position typically greets visitors, schedules appointments, and answers questions for the general public and other interested parties. This position will obtain and provide information regarding activities conducted at a practice or the location of departments, offices, or employees within the organization. Answer multi-line telephones and record names of callers, the time of call, and the nature of business. They also route phone calls and inform employees of visitors' arrivals or cancelled appointments. They will type letters, reports, internal and external communications, address envelopes, cards, and labels, file correspondence and documents, and locate and remove materials from files.
  • Qualifications
  • Working knowledge of computers for word processing, scheduling, insurance claim processing, and records management
  • Working knowledge of dental practice management software (Dentrix, Eaglesoft, etc.)
  • Knowledge of dental terminology.
  • Understand and comply with policies and procedures associated with a dental practice.
  • Understand and comply with HIPAA.
  • Understand and comply with the HI-TECH Act of 2009.
  • Essential Functions

  • Patient Services
  • Maintain appearance and order of the dental office.
  • Coordinate patient scheduling and patient management.
  • Open and close the dental office according to office protocol.
  • Check the daily schedule for accuracy and provide the schedule to the dental team as appropriate.
  • Answer and respond to telephone calls with professionalism.
  • Review supplies for reception and provide the order to the business manager.
  • Maintain a professional reception area/office (organize patient education materials and magazines, straighten up the facility, oversee cleaning service schedule and duties, etc.)
  • Greet and welcome patients and visitors to the practice.
  • Check in patients according to office protocol and verify and update health information.
  • Provide HIPAA Notice of Privacy Practices and document according to office policies and procedures.
  • Manage recall and inactive patient system.
  • Confirm upcoming appointments by telephone.
  • Schedule patients for efficient use of the doctor and staffs' time.
  • Check the patient backup list to try to fill in cancellation and no-show appointment times.
  • Collect payment from patients at the time of treatment.
  • Schedule follow-up appointments as directed.
  • Sort, organize and distribute mail.
  • Prepare and send new patient and referral thank-you letters.
  • Prepare and send continuing care notices on the 15th of each month.
  • Prepare and send correspondence as directed by the Dentist or Office Manager.
  • Monitor inventory and order dental office supplies as needed.
  • Monitor and make sure all office equipment (copy machine, fax, phones, computer system, etc.) is functioning and properly maintained; follow up on staff complaints and submit appropriate repair requests.
  • Be an active participant in team meetings.
  • Perform other tasks as assigned by the dentist.
  • Records and Finance
  • Maintain petty cash.
  • Gather and accurately record dental, medical and insurance information from patients.
  • Securely store and handle records in compliance with legal requirements, including HIPAA regulations.
  • Accurately file patient information.
  • Arrange patient charts and radiographs for the next day's appointments.
  • Track cases and referrals to and from other doctors.
  • Ensure confidentiality of all personnel and employment-related information.
  • Keep patients' insurance information up to date.
  • Submit treatment plans for predetermination of benefits.
  • Prepare claim forms for patients with dental insurance.
  • Organize supporting materials for claim forms such as radiographs or written narratives.
  • Mail claim forms from the office.
  • Assist in the resolution of problems with third-party payers.
  • Prepare billing statements promptly and accurately.
  • Mail billing statements as directed by the Dentist.
  • Prepare and mail overdue account letters as directed by the Dentist.
  • Telephone patients with accounts overdue.
  • Post checks received each day.
