Robert Half is a 3 month contract opening to identify a highly organized and detail-oriented Administrative Assistant to provide essential support to the Director of Nutrition Services. This is an excellent opportunity for an administrative professional who enjoys supporting a busy department, managing confidential information, coordinating with multiple stakeholders, and helping ensure day-to-day operations run smoothly. The ideal candidate will be proactive, dependable, customer-service oriented, and comfortable working with parents, district departments, and internal staff.
Key ResponsibilitiesProvide administrative support to the Director of Nutrition Services and Distribution and the broader department.
Scan, organize, and fax meal applications and related documentation.
Assist with processing meal applications and communicate directly with parents regarding applications, requirements, and next steps.
Coordinate equipment repair requests with the IT Department and assist with closing out related work orders within the district's ticketing system.
Assist with scheduling interviews, meetings, reservations, and other appointments using Outlook.
Support occasional event coordination, including office lunches, BBQs, large meetings, and other department events.
Assist with the preparation and production of monthly reports and department documents; training will be provided.
Create, update, and maintain documents using Google Docs and other administrative tools.
Serve as a liaison between employees and Human Resources regarding medical claims, doctor's notes, and other confidential documentation.
Assist with reconciling employee absence reports and maintaining accurate records.
Support the monthly timecard processing process; training will be provided.
Perform general administrative duties, including document management, data entry, filing, correspondence, and other projects as assigned.
