PERSONAL ASSISTANT TO BUSY MEDICAL PROVIDER
In-Person | Denver, CO 80011 | Full-Time $25/hour to start + performance-based increase at 90 days I'm looking for an exceptional Personal Assistant / Right-Hand Person who can work alongside me throughout the day and help me stay organized, focused, on schedule, and—most importantly— get things finished. This is not a remote position. This is also not a traditional desk job where you are given a list of tasks and work independently somewhere else. I am a busy medical provider, and I need someone who can stay by my side, anticipate what needs to happen next, keep me moving, and take ownership of the details. The most important quality I am looking for is simple: You finish things. If something needs to be done, you don't just make a note of it. You pursue it, follow up, make the phone call, send the email, solve the problem, and keep going until it is actually finished.
WHAT YOU'LL DO
- Shadow me and work alongside me throughout the day
- Keep me on schedule and make sure I stay on time
- Manage scheduling, appointments, calls, follow-ups, and competing priorities
- Be comfortable being appropriately assertive with me: remind me, redirect me, and make sure I do the things that need to get done despite frequent interruptions
- Take unfinished tasks and own them through completion
- Make phone calls and follow up repeatedly when necessary until something is resolved
- Help determine what needs immediate attention and what can reasonably wait
- Keep track of details so things don't fall through the cracks
- Draft and edit emails, letters, documents, notes, and other written communications
- Communicate professionally with patients, businesses, professionals, organizations, and other contacts
- Represent me professionally—you will frequently be my face and voice to the outside world
- Organize information, files, projects, and materials
- Create attractive, logical, easy-to-use systems, including color-coding and visual organization
- Learn new software, systems, and processes quickly. I am open to new ways of doing things and tech solutions when they make sense
- Help with a wide variety of personal, professional, administrative, and organizational tasks
- Notice what needs to be done without always waiting to be told
THE PERSONALITY I NEED
You are kind, warm, upbeat, and fun to work with , but you also have a naturally take-charge personality.
You are comfortable saying:
"This needs to get done. Let's do it." You don't need someone standing over you telling you what to do every five minutes. You are a finisher. You follow up. You remember. You keep track. You don't give up when someone doesn't return your call. You don't consider something finished simply because you sent an email—you make sure the issue was actually resolved. You are comfortable respectfully pushing me when I am distracted, overloaded, or putting something off. You are organized enough to keep track of many moving pieces without becoming overwhelmed. And you genuinely enjoy making someone else's life easier.
YOUR SUPERPOWERS
Exceptional follow-through — This is the #1 qualification. Take-charge personality — You naturally move things forward instead of waiting for instructions. Outstanding organization — You can look at a chaotic pile of information and figure out what belongs where. Excellent communication — You can communicate clearly, professionally, and warmly in person, on the phone, and in writing. Strong writing skills — Your emails and documents are polished, concise, grammatically correct, and appropriate for the audience. Persistence — You don't mind making the second call, third call, or tenth call when something needs to get done. Fast learner — You pick up new systems and information quickly. Strong visual organization — You enjoy making information attractive, logical, color-coded, and easy to use. Professional presence — You understand that when you communicate on my behalf, you represent me. Good judgment and discretion — You understand confidentiality, privacy, boundaries, and professional ethics.
THIS JOB MAY BE A GREAT FIT
IF...
People regularly tell you:
"You're a little bossy—but in a good way." "If I need something done, I give it to you." "How do you keep track of all of this?" "You're the organized one." "You don't let things go until they're finished." You may have worked as an executive assistant, personal assistant, office manager, project coordinator, practice manager, administrative professional, legal assistant, operations coordinator, or in another role requiring exceptional organization and follow-through. Medical experience is NOT required. What matters much more is your ability to learn quickly, communicate professionally, protect confidential information, and get things done.
REQUIREMENTS
- Exceptional reliability and follow-through
- Excellent written and verbal communication
- Strong organizational and scheduling skills
- Comfortable spending much of the day on the phone when necessary
- Comfortable working directly alongside another person throughout the day
- Professional appearance and demeanor
- Strong computer skills and ability to learn new software quickly
- Excellent judgment and discretion
- Willingness and ability to handle confidential information
- Successful completion of background and reference checks
- Reliable transportation
- Ability to work in person; this is not a remote or hybrid position
JOB SCOPE & BOUNDARIES
This is a professional personal-assistant and executive-support position centered on helping me manage my time, responsibilities, communications, projects, and day-to-day priorities. The role may include a combination of professional, administrative, organizational, and reasonable personal-assistance tasks, depending on what needs to be accomplished. This is not a housekeeping, cleaning, childcare, caregiving, or general domestic-services position. The expectation is that you will use good judgment, maintain appropriate professional boundaries, and take ownership of tasks within the scope of the position. If something is unclear, you should ask rather than make assumptions. Confidentiality, privacy, professionalism, and discretion are essential to this role.
WORK HOURS & AVAILABILITY
This is a full-time, in-person position , generally Monday-Friday during regular business hours. You will be expected to be physically present and working alongside me throughout the scheduled workday , rather than working from another office or completing tasks remotely. Because my schedule can change and some matters require follow-up outside of a predictable routine, flexibility is important. Occasional schedule adjustments, early or later days, or an occasional need to handle a time-sensitive matter may arise. The expectation is not that you are available around the clock. Work outside your scheduled hours will be the exception, not the norm, and will be addressed as needed. You should be someone who is reliable, punctual, flexible, and comfortable adapting when the day doesn't go exactly as planned.
THE 90-DAY OPPORTUNITY
You will start at $25/hour , with a formal performance review at 90 days. The goal is for you to become indispensable —someone I can genuinely rely on to take ownership, anticipate needs, and make sure things get done. Based on your performance during the first 90 days, your compensation will be increased accordingly. This is an opportunity to grow into a highly trusted, long-term position with significant responsibility and autonomy.
HOW TO APPLY
Please don't send a generic cover letter. Tell me about one real-world example of something you were responsible for getting done that required significant follow-through.
Briefly explain:
- What needed to happen?
- What obstacles came up?
- What did YOU personally do?
- How did you keep track of it?
- How did you know it was actually finished?
I'm much more interested in a specific example than someone simply telling me they are organized, reliable, or a hard worker. I'm looking for someone who can demonstrate: "Give it to me. I'll handle it."
