Job Description

TOWN OF EAST WINDSOR
Position Vacancy Social Services Full Time Clerical/Intake Assistant A full-time union position is available in the Social Services Department. This is a 35 hour per week position, and rate of pay is $34.91 per hour. SERVICES CLERICAL/INTAKE ASSISTANT POSITION GOAL
Under the general direction of the Director of Recreation and Community Services, provides a wide range of administrative office support, screens clients, obtains essential information, and provides support in delivering services while following professional standards, procedures, and policies. Provides first point of contact for clients and others contacting the office and is responsible for directing their needs to appropriate staff, including self.
ESSENTIAL FUNCTIONS
  • Prepares and process client grants for payment and track client grants
  • Maintains appropriate client data and create appropriate data tracking methods such as spreadsheets and managing client filing system
  • Assists with the process of evictions/ejections
  • Coordinate Back to School, Holiday, and other donation programs
  • Serve as Co-Chair to the Local Prevention Council
  • Continue professional development by participating in job related training and educational workshops and staying up to date on available resources
  • Confers with Director to determine best course of action for clients and keeps Director up to date with office happenings
  • Gathers information, completes applications, and assists clients in navigating through Energy Assistance and Renters Rebate Programs as needed by the Social Services Aide and acts as back-up for same
  • Maintains and updates the Department webpage as needed.

OTHER DUTIES
The above duties describe the most significant duties performed and are not to be considered a detailed description of every duty of the position. Other related tasks may be assigned by the Director or by the First Selectman.
REQUIRED QUALIFICATIONS
  • A minimum of four (4) years' experience in secretarial and administrative work
  • A minimum of one (1) year experience in budgeting
  • i.e. processing invoices for payment, assisting with annual budget submissions, maintaining excel workbook of department expenses
  • Associate degree in Business Office Technology, Social Work or an associate degree with coursework in related field.
REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Ability to maintain a professional and courteous manner while dealing with the public in strict confidentiality.
  • Use of the Internet effectively and efficiently to obtain pertinent information.
  • Knowledge of federal, state, town and departmental policies and requirements for the services provided, and ability to assist in completing client applications.
  • Knowledge of facilities, equipment and program planning techniques needed to meet the needs of citizens.
  • Knowledge of various social, recreational, health and cultural programs for community and referral services.
  • Knowledge of community organizations and resources, and the ability to work collaboratively with these agencies.
  • Knowledge of issues and needs of the population and community resources.
  • Ability to work with people and their caregivers/family using good judgment and empathy, and to encourage their individual and collective abilities.
  • Ability to write effectively to maintain current case reports, client files and compose letters.
  • Ability to write effectively with individuals, with groups, the news media and outside organizations.
  • Ability to perform tasks requiring independent knowledge.
  • Ability to concentrate on fine detail with constant interruption, multitask and exercise discretion and maintain confidentiality when dealing with clients.
REQUIRED EQUIPMENT OPERATION
Requires the operation of a motor vehicle, cellular phones, landline phones, and computers with the use of Microsoft Office, copiers, facsimile machines, calculators, and other standard office equipment.
POSITION TYPE AND EXPECTED HOURS OF WORK
This is a full-time position. Days and hours of work are Monday through Wednesday 8:30 a.m. to 4:30 p.m., Thursday 8:30 a.m. to 7:00 p.m. and Friday 8:30 a.m. to 1:00 p.m.
REQUIRED PHYSICAL EFFORT
While performing the duties of this position, the employee is occasionally required to lift and/or move up to 30 pounds. Must be able to sit, stand, hear, and work in a potentially noisy environment with interruptions and client emergencies. Non-exempt, full-time, union position.
Pay:
$34.91 per hour Expected hours: 35.0 per week
