CHURCH ADMINISTRATIVE ASSISTANT
Overview/Job Summary The Church Administrative Assistant is a part-time office position, responsible for assisting in the general operations of Lower Brandywine Presbyterian Church, located in Wilmington, DE. This role works closely with the Pastor and the other members of the church staff. Job responsibilities include acting as the office receptionist, answering the phones and emails, processing the mail, managing and ordering supplies, maintaining the church calendar, keeping the church database up-to-date, interacting with third parties and vendors, as well as maintaining church records and documents. The office hours for the AA are generally Tuesdays through Fridays from 10 AM to 2 PM. Essential Duties and Responsibilities
  • The LBPC Administrative Assistant sits at the main desk in the office and is the first point of contact for congregants and outside visitors.
  • Make and answer phone calls, as well as review and reply to emails.
  • Manage incoming and outgoing mail, distributing the mail to the appropriate persons, using our internal mailboxes.
  • Assist the Pastor in whatever administrative needs she has each week.
  • Maintain the LBPC church wide calendar and LBPC Directory.
  • Maintain and create reports using Planning Center, our church management software.
  • Manage/order supplies for the office and church in general.
  • Assist with copying documents and maintaining the copier machine.
  • Maintain all church documents and property records.
  • Work closely with the Property Manager regarding the maintenance of the major systems within the church building (HVAC; septic; elevator; fire alarms; internet), including being familiar with their maintenance schedules, service providers, and emergency contacts.
  • Have a general understanding of the LBPC Cemetery operations and assist the Cemetery Manager in maintaining cemetery documents.
  • Liaison with our outside IT vendor.
  • Post notices and other printed material throughout the church.
  • Keep the office and storage areas organized and tidy.
Relationships and Interactions The LBPC Administrative Assistant will report to our Pastor, and will interact with and assist the Pastor on a daily basis. This person will also have some interaction with other church staff members, which include the Music Director, Cemetery/Property Manager, Finance Director, Communications Specialist, and Church Housekeeper, and will assist them as needed. The AA will also have some interaction with the Personnel Committee and other church committee chairs. Qualifications, Skills and Characteristics The candidate must have at least 5 years experience as an Administrative Assistant or equivalent office operations experience. Although not required, previous Church-related work experience is preferred. The candidate must have exceptional computer skills, with a good working knowledge of Microsoft Office programs, including Word, Excel, PowerPoint, and Publisher, as well as other computer programs such as Adobe and Canva. The candidate must be willing to become fluent with the use of Planning Center, our church management software. Audio Visual skills or a willingness to learn the use of AV. The candidate must have strong writing and editing skills. Must be organized, detail oriented, and a self-starter. Well-developed interpersonal skills, and the ability to work well and collaborate with others are essential to succeed in this role. Schedule and Compensation This is a 16 hour per weekly position, although on occasion, the person may be required to work up to 20 hours in a given week. The person will be required to perform all of their work at the church office, 4 hours per day from 10 AM to 2 PM on Tuesdays through Fridays. Starting wage rate between $18 and $20 per hour based upon skill set and experience. Because this is a part-time position, there are no fringe benefits offered with this job.
