Requirements :
Some college preferred; high school diploma or GED required, and at least one year of related experience required. Bilingual in English and Spanish required, with verbal communication skills in both languages. Previous administrative, office, receptionist, or customer service experience preferred. Proficiency with Microsoft Office, Google Workspace, or similar business applications. Intermediate-level knowledge and experience with AI tools, including the ability to write clear prompts, use AI to draft routine emails and documents, organize information, and complete daily administrative tasks with minimal guidance. Comfortable learning and using new technology, software, and office systems. Organizational and time-management skills. Ability to multitask, prioritize responsibilities, and consistently follow through on assignments. Attention to detail and accuracy. Customer service and interpersonal skills. Professional appearance and demeanor. Dependable, punctual, and able to work independently with appropriate direction. Ability to exercise discretion and maintain confidentiality. Must be available to work on-site full-time. Physical Requirements Ability to sit or stand at a front desk for extended periods. Ability to lift and carry supplies and inventory boxes up to approximately 25 lbs. Ability to perform repetitive tasks using a computer, phone, and office equipment. Job Responsibilities:
Front Desk & Administrative Support Greet visitors and serve as the first point of contact for guests, employees, customers, and vendors. Answer and route calls, emails, mail, and deliveries. Schedule meetings, maintain calendars, and prepare meeting spaces. Provide administrative support, including document preparation, filing, records management, and special projects. Utilize approved AI and digital productivity tools to assist with drafting communications, preparing documents, organizing information, and improving administrative efficiency. Maintain confidentiality and ensure a professional, organized reception and office environment. Inventory & Office Operations Conduct weekly inventory of office, kitchen, and employee supplies. Maintain inventory records, identify replenishment needs, and prepare weekly purchase requests. Place approved orders, track deliveries, organize incoming supplies, and coordinate with vendors. Maintain organized storage areas and help optimize inventory levels while minimizing waste. Employee Supplies & Onboarding Support Coordinate the distribution and tracking of uniforms, PPE, and other company-issued items, consistent with company recordkeeping procedures. Prepare supplies for new hires and maintain accurate inventory records. Support onboarding logistics and other administrative needs as assigned.
