Job Description

Ducere Construction Services, Inc. Administrative Assistant - Full Time Austell, GA 30168 Job Description We are looking for an experienced Administrative Assistant to handle the day-to-day requests from the Executive Team at Ducere Construction Services, Inc. Your responsibilities will play a significant role in managing assignments for the team. You are expected to be confident in your abilities to perform at all times. Key Responsibilities:
Manage subcontractor compliance documentation including COIs, licenses, W-9s, and contracts in BuildTools (construction management platform) Conduct regular compliance audits to verify subcontractor documents are current and properly filed Work directly with AI agents to streamline document management, compliance tracking, and reporting workflows Serve as point of contact for subcontractors regarding documentation requirements and onboarding Coordinate with clients on project updates, scheduling, and communications Run errands as needed (site visits, permit pickups, supply runs) Compose routine letters, emails, and other business communications Manage day-to-day administrative requests from the
Executive Team Qualifications:
Ability to handle multiple tasks simultaneously Self-starter, eager to learn new things within a team environment A high degree of professionalism and strong work ethic coupled with a sense of responsibility and integrity Discretion required in handling highly sensitive and confidential information in a respectful manner Extraordinary organizational and project management skills Detail-focused, meticulous, and able to prioritize accordingly Excellent communication skills, both verbal and written, with exceptional etiquette and finesse Solution-focused and anticipates needs Thick-skinned with the ability to work with different personality types to build long-lasting, quality business relationships Highly independent, able to work under limited supervision, taking the initiative when necessary Approach your job duties with a sense of ownership, confidentiality, commitment, honesty, loyalty, and integrity Proficiency in the use of Microsoft Office (Word, Excel and Outlook) Ability to compose routine letters and other communications Adaptable to ever changing priorities and flexibility to work extended hours if necessary Excellent partnering skills - must be a team player Strong interpersonal and communication skills
Requirements:
High school diploma or equivalent required; Associate's degree preferred (NOT required) Vehicle/Driver's License required Background Check Required Experience in construction, real estate, or similar industry preferred but not required Comfort working with AI tools and willingness to learn new technology platforms
