Job Description

Job Summary MyFamily Braces is seeking a dependable, organized, and patient-focused Bilingual Front Desk Administrative Assistant to join our orthodontic team. This position is ideal for someone who communicates professionally in English and Spanish, enjoys helping patients and families, and can manage multiple responsibilities in a busy healthcare office. The front desk plays an essential role in creating a welcoming patient experience while supporting an efficient daily schedule. Duties Welcome patients and families in a friendly and professional manner Answer telephone calls, text messages, and patient inquiries Schedule, confirm, reschedule, and coordinate orthodontic appointments Check patients in and out accurately and efficiently Review patient accounts and collect scheduled payments Explain office policies, payment expectations, and appointment requirements professionally Maintain accurate patient, insurance, and responsible-party information Assist with insurance verification, claim follow-up, and benefit documentation as assigned Prepare and send patient correspondence, forms, financial notices, and appointment reminders Document communications and account activity accurately in the patient record Monitor the daily schedule and communicate changes with the clinical team Help manage missed appointments, late arrivals, and scheduling concerns according to office policies Protect patient confidentiality and follow HIPAA requirements Maintain a clean, organized, and professional reception area Complete general administrative duties and support the office team as needed Experience Previous is preferred is strongly preferred Strong verbal and written communication skills Professional telephone and text-message etiquette Excellent organization, attention to detail, and time-management skills Comfortable discussing payments, account balances, and office policies with patients Ability to remain professional when handling sensitive or difficult conversations Basic computer proficiency and ability to learn new software Cloud 9 Orthodontics experience is a plus Bilingual English and Spanish skills are a plus Dependable attendance and punctuality are required Ideal Candidate The ideal candidate is friendly but firm, follows established policies consistently, communicates clearly, and takes ownership of assigned responsibilities. This person should be able to prioritize tasks, maintain accurate documentation, protect confidential information, and work cooperatively with both the administrative and clinical teams.
Pay:
$16.00 - $23.00 per hour
