is seeking a dependable and organized Project Administration Assistant to support our office and project-management team. This is an entry-level position that is well suited for a recent high school graduate, current college student, or early-career professional interested in business administration, project coordination, data management, marketing, or operations. The person in this position will assist with data entry, document organization, research, project tracking, social media, marketing materials, and basic website updates. Training will be provided, but the selected candidate must be comfortable using a computer, following detailed instructions, and checking their work for accuracy. Primary ResponsibilitiesProject and Office Support Organize electronic project files and company records. Scan, upload, save, and file documents correctly. Prepare forms, checklists, spreadsheets, reports, and meeting notes. Update project trackers, task lists, and deadlines. Gather documents needed for project submissions. Help the office team with daily administrative assignments. Data Entry Enter information from field reports, work orders, and other documents into spreadsheets and company systems. Update client, employee, vendor, and project records. Check entries for missing information, typing errors, or numbers that do not match. Report possible errors to a supervisor instead of guessing or making unauthorized changes. Protect confidential company, employee, client, and project information. Research Research prospective clients, vendors, business partners, and project opportunities. Help identify government bids, contracts, training programs, and networking events. Find and verify company contact information. Organize research findings in spreadsheets or short written summaries. Record the sources used to obtain information. Social Media and Marketing Support Suggest ideas for company social media posts. Draft captions and short marketing messages for management review. Help create simple graphics, flyers, and presentations using approved templates. Organize company photographs, project highlights, and announcements. Update the company's social media calendar. Schedule content after it has been reviewed and approved. Track basic social media activity and engagement. The assistant may not publish content, respond publicly, or speak on behalf of the company without management approval. Website Support Make basic updates to approved website content. Upload approved photographs, announcements, project highlights, and company information. Check webpages for spelling errors, outdated information, or broken links. Test updated pages on desktop and mobile devices. Report website problems or recommended changes to management. The assistant may not change passwords, website settings, pricing, legal statements, or the overall website design without authorization. Document and Quality Checks Review documents using company checklists. Check that required information has been provided. Compare information between reports, work orders, logs, and spreadsheets. Identify blank fields, incorrect formatting, or information that does not match. Report concerns to the appropriate supervisor. Make corrections only when authorized. Minimum Qualifications High school diploma or GED. Basic computer, email, and internet skills. Ability to use or learn Microsoft Word, Excel, Outlook, and Teams. Ability to follow written and verbal instructions. Strong attention to detail. Clear written and verbal communication skills. Dependable attendance and punctuality. Ability to organize assignments and meet deadlines. Willingness to ask questions and accept feedback. Ability to maintain confidentiality. Previous professional office experience is not required. Preferred Qualifications Current enrollment in a college, university, or technical program related to business, administration, marketing, communications, or project management. Previous school, volunteer, internship, or work experience involving research, data entry, presentations, or social media. Strong typing, proofreading, and research skills.
