Job Description

Magnolia Gardens PCH, Inc. is seeking a dependable, organized, and detail-oriented Office Clerk / Administrative Assistant to support the daily administrative needs of our residential home and day program serving individuals with developmental disabilities.
Schedule:
8:00 AM - 3:00
PM Location:
Stone Mountain, GA Position Summary The Office Clerk will work primarily in the office and help ensure that resident records, staff documentation, and other required program paperwork are complete, organized, and up to date. This position supports both our residential program and day program and works closely with management and direct support staff. This is a good position for someone who is comfortable using a computer, pays close attention to details, can stay organized, and is comfortable working in an environment that serves adults with developmental disabilities. Responsibilities Review resident files to make sure required forms and documentation are present, current, and properly filed. Maintain organized paper and electronic records for residents and program operations. Monitor staff documentation, including BIRP notes and other required service documentation, to make sure it has been completed. Follow up with staff when documentation is missing, incomplete, or needs correction. Assist with filing, scanning, copying, printing, data entry, and other general office duties. Help maintain documentation and records for both the residential home and day program. Track due dates and help ensure required paperwork is completed on time. Communicate professionally with staff, supervisors, residents, families, and other individuals who may visit or contact the office. Assist management with preparing and organizing records for reviews, audits, inspections, and other administrative needs. Maintain confidentiality of resident and staff information. Perform other administrative and clerical duties as assigned. Qualifications High school diploma or GED required. Basic computer skills required, including the ability to use email, Microsoft Word, and other computer-based systems. Comfortable learning new software and electronic documentation systems. Strong organizational skills and attention to detail. Ability to identify missing or incomplete documentation and follow up appropriately. Ability to manage multiple tasks and deadlines. Dependable and able to work independently with limited supervision. Professional communication skills. Comfortable working around and interacting respectfully with individuals with developmental disabilities. Previous office, clerical, healthcare, residential services, or developmental-disability services experience is preferred but not required.
