About the Role We are seeking a detail-oriented Administrative Specialist to keep our daily operations running smoothly. In this role you will be the organizational backbone of the team — managing schedules, correspondence, records, and office logistics while serving as a professional point of contact for staff, clients, and vendors. This is an ideal opportunity for someone who thrives on structure, anticipates needs before they arise, and takes pride in getting the details right. Key Responsibilities Manage calendars, schedule meetings, and coordinate travel arrangements for team members and leadership. Prepare, proofread, and format correspondence, reports, presentations, and internal documentation. Maintain accurate physical and electronic filing systems, ensuring records are current, organized, and secure. Serve as a first point of contact — answering phones, responding to email inquiries, and greeting visitors. Order and manage office supplies, equipment, and vendor relationships. Coordinate logistics for meetings and events, including room setup, materials, catering, and follow-up notes. Enter and maintain data in company databases and CRM systems; generate routine reports as requested. Support onboarding of new team members with workspace setup, paperwork, and orientation scheduling. Identify opportunities to improve administrative processes and help implement them. Handle confidential and sensitive information with discretion. Perform other related duties as assigned. Required Qualifications 3+ years of administrative, office coordination, or executive support experience. Proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint) and/or Google Workspace. Strong written and verbal communication skills, with excellent grammar and attention to detail. Proven ability to prioritize competing demands and manage multiple projects to deadline. Sound judgment, professionalism, and the ability to maintain confidentiality. Comfortable learning new software and office technology quickly. Access to a Mac computer. Preferred Qualifications Familiarity with scheduling, CRM, project management, or expense platforms. Basic bookkeeping and records-management experience. $24.00 - $26.00 per hour
