Job Description / Administrative Specialist Name & Job Title Administrative Specialist Reports to Program Manager Job Purpose Responsible for the daily operations of the Resource Room, entering customer data and local services and assisting the public and clients with their career and applicant service needs. Performs clerical duties as needed. Duties and Responsibilities Receptionist for the Resource Room and determining the needs of the public and clients. Answering questions and providing technical assistance for those who use our equipment. Answering, screening, and forwarding incoming phone calls. Provide basic and accurate information on resources available in-person and via phone/email. Checking in the public to receive services and assisting with completing the Intake form. Entering data into IWDS system to create customer record and assigning local services. Preparing room for Information Session and tracking of attendees. Assisting applicants with the application, and gathering documents needed to apply for service. Setting up applicants on laptops to complete their applications and find proof of Selective Service. Review all documents submitted in person to apply for services for accuracy. Access to the website responding to emails. Tracking office supply needs and entering orders on supply request form. Reserving appointments for conference room use. Drafting and printing business cards for the staff. Referring clients to Black Hawk College for CASAS testing. Other duties as assigned. Qualifications Minimum one year administrative and customer service work experience. Understanding social services and education. Knowledgeable in resume writing, applications and job searching. Proficient in Microsoft Office Suite. Bilingual candidates are encouraged to apply.
