Description:
Nick's Metal Fabricating & Son's, an AISC-certified structural steel and miscellaneous metals fabrication shop, is seeking a reliable and organized office assistant to support the daily administrative operations. This position plays an important role in keeping project documentation organized, assisting with communication, and ensuring office operations run efficiently. The Office Assistant is expected to assist upper management, and sales to ensure that everyday tasks are being handled, filed, and input correctly. The ideal candidate will be detail-oriented, proficient in QuickBooks and Microsoft Office, and be comfortable working with construction-related paperwork, and is able to manage multiple tasks in a fast paced enviornment. Applicants must have knowledge in computer specifications, possess strong communication skills, as well as a keen attention to detail. Administrative Support Answer and direct incoming phone calls and emails Greet visitors, vendors, and delivery personnel Maintain organized filing systems for project documents Order and manage office supplies Project & Construction Support Maintain job folders and project records Accounting & Payroll Assistance Assist with data entry for invoices Support timecard collection from shop employees Assist with basic bookkeeping tasks as needed Scheduling & Coordination Maintain company calendars and internal communication Compliance & Documentation Maintain insurance certificates, safety documents, and compliance records Assist with organizing OSHA and safety documentation Track subcontractor paperwork and required documentation Qualifications High school diploma or equivalent (Associate degree preferred) Previous office or administrative experience preferred Experience in construction, steel fabrication, or trades is a plus Proficiency in Microsoft Office (Excel, Word, Outlook) Strong organizational and communication skills Ability to multitask and manage deadlines Preferred Skills bookkeeping or QuickBooks experience Experience working with construction fields
