Job Description

Overview :
The Secretary of Saron United Church of Christ manages the day-to-day administrative operations of the church and serves as the primary point of contact for members, visitors, community members, volunteers, and church leadership during regular office hours. The Secretary provides administrative support to church leadership and ministry groups; maintains church records and calendars; coordinates communications and publications; assists with worship, events, and facility scheduling; and helps ensure church office operations run smoothly. The Secretary is expected to communicate promptly, maintain confidentiality, exercise good judgment, and represent Saron with a welcoming and professional attitude.
Responsibilities :
The Secretary shall carry out the following responsibilities and other duties reasonably related to the position as assigned by the appropriate church leadership. Serves as the primary point of contact for the church office, greeting and assisting members, visitors, and community members and responding to telephone, email, and in-person inquiries. Directs requests to the appropriate church leader, ministry, community organization, other church, or resource as appropriate; relays needs to the Elders when necessary; and communicates when Saron is unable to fulfill a request. Coordinates incoming and outgoing mail and deliveries, including notifying recipients and distributing mail. Maintains and documents petty cash transactions in accordance with church financial procedures. Monitors and orders office, cleaning, paper, and other supplies as needed or directed. Coordinates, creates, and prints programs and bulletins for Sunday worship and special services. Coordinates, creates, and electronically distributes the monthly newsletter and prints paper copies for members who prefer them. Creates and sends church notifications and special prayer requests by email and text as directed by the Elders. Posts approved information throughout the church facility and maintains the church marquee. Maintains the master church calendar and coordinates church-related appointments and scheduling. Maintains accurate church membership and historical records, including births, deaths, baptisms, membership changes, and other official records in the Saron Members Book. Administers facility-use requests and rental agreements and maintains scheduling for Saron properties. Manages church key and key-card control and assigns access as appropriate. Provides administrative and scheduling support for church programs, special events, fellowship groups, choirs, committees, and other church-related activities as requested. Assists with children's education materials as required. Coordinates altar flowers and special-event florals with Violet & Co. as directed. Monitors and reports facility, equipment, maintenance, or supply needs to the appropriate church leader or service provider, and helps keep common areas tidy. Maintains appropriate confidentiality regarding member information, prayer requests, financial information, personnel matters, and other sensitive church business.
Qualifications:
Strong organizational, communication, and interpersonal skills. Ability to maintain confidentiality, exercise good judgment, and manage multiple priorities. Proficiency with Microsoft Office, email, calendars, and common office technology preferred. Previous administrative or office experience helpful but not required. Must pass required background screening.
Physical Requirements:
Works primarily in a church office and facility environment. Frequently required to sit, stand, walk, communicate, and use standard office equipment.
