Job Description

The Administrative Assistant provides administrative and programmatic support for the Direct Service Worker (DSW) Program by ensuring timely, accurate, and complete documentation submitted by Direct Service Workers. The position serves as the primary administrative resource for monitoring timesheets, service documentation, progress notes, payroll support, compliance tracking, and communication with DSW staff. The Administrative Assistant helps ensure that all documentation meets organizational, Medicaid, and regulatory requirements while supporting quality service delivery to individuals receiving care. Essential Duties and Responsibilities Documentation & Compliance Review DSW timesheets for completeness, accuracy, and required signatures. Verify that progress notes correspond with documented hours worked. Review service logs for accuracy and completeness. Ensure documentation meets agency policies and Medicaid documentation standards. Identify missing, incomplete, or inaccurate documentation and follow up with staff for corrections. Maintain documentation tracking logs. Monitor submission deadlines and ensure paperwork is received on time. Organize and maintain confidential employee and client files. Assist with audit preparation by ensuring documentation is readily available. Support internal quality assurance reviews. Track expiring certifications, training, and required employee credentials. Maintain documentation retention according to agency and regulatory requirements. Payroll & Timekeeping Support Review employee timesheets prior to payroll processing. Compare timesheets with service documentation to identify discrepancies. Resolve documentation issues before payroll submission. Communicate payroll discrepancies with supervisors and payroll staff. Generate reports regarding missing documentation and payroll exceptions. Employee Support Serve as the primary administrative contact for Direct Service Workers. Provide guidance regarding documentation requirements. Assist new employees with required paperwork. Notify employees and supervisors of upcoming compliance deadlines. Administrative Support Answer phones and respond to employee and client inquiries. Schedule meetings, training sessions, and employee orientations. Enter data into agency databases and electronic record systems. Assist leadership with special projects. Knowledge, Skills & Abilities Strong attention to detail. Excellent organizational skills. Ability to prioritize multiple deadlines. Knowledge of payroll and timekeeping practices. Ability to maintain confidentiality (HIPAA compliant). Strong written and verbal communication skills. Proficiency with Microsoft Office Suite. Ability to identify documentation inconsistencies. Ability to work independently with minimal supervision. Customer service skills with employees and clients. Minimum Qualifications High school diploma or GED required. Two to three years of administrative experience. Experience in healthcare, home care, behavioral health, disability services, or Medicaid-funded programs preferred. Experience reviewing documentation and supporting payroll strongly preferred. Physical Requirements Prolonged periods sitting at a computer. Frequent use of office equipment. Ability to lift up to 20 pounds occasionally.
Pay:
$13.00 - $15.00 per hour
