Administrative Assistant - Planning and Code

Job Description

Job Summary We are seeking an Administrative Assistant for our Code and Planning Department. This full-time position provides administrative and clerical support for the Town's Planning and Code Enforcement functions. Serving as a primary point of contact for the public, the Administrative Assistant assists residents, contractors, developers, board members, and staff by processing applications, maintaining records, preparing documents, coordinating meetings, and supporting departmental operations. The position requires exceptional customer service, attention to detail, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. Responsibilities Serve as a primary point of contact for residents, contractors, developers, and other visitors to the Code and Planning Department. Process permit, inspection, and land use applications; maintain departmental records and databases. Coordinate meetings, inspections, appointments, and communications for department staff, boards, and committees. Prepare correspondence, notices, agendas, meeting packets, reports, and other departmental documents. Provide administrative support for Planning Board and Zoning Board of Appeals activities and assist with special projects and public outreach efforts. Qualifications The ideal candidate will have three or more years of administrative, clerical, municipal, or related experience; excellent customer service, communication, and organizational skills; and the ability to manage multiple priorities in a fast-paced environment while maintaining a high degree of accuracy and attention to detail. Candidates should be proficient with Microsoft Office Suite and comfortable learning specialized municipal software, including MyGov and TRIO. The successful applicant will be able to work independently, interact professionally with residents, contractors, board members, elected officials, and Town staff, and demonstrate the ability to handle sensitive information with discretion and sound judgment. Experience with municipal government, permitting, planning, code enforcement, or land use processes is preferred. $20.03 - $24.27 per hour
