Wealth Management / Financial Services About the Opportunity We're looking for a dependable, organized, and team-oriented Administrative Assistant to join a professional wealth management office. This person will play an important role in keeping the office organized and running smoothly behind the scenes. From managing paperwork and maintaining files to assisting with day-to-day office coordination, you'll be someone the entire team can rely on. While this is primarily an administrative position, you'll also have opportunities to assist with the front desk and interact with clients from time to time. Because of that, we're looking for someone who is polished, professional, personable, and comfortable representing the firm. You don't need to have years of wealth management experience to be successful in this role. What matters most is that you're organized, dependable, detail-oriented, willing to learn, and genuinely enjoy being part of a team. What You'll Do Your day-to-day responsibilities will include a variety of administrative and office-support functions, including: Maintain and organize physical and electronic client and office files Filing, scanning, copying, faxing, and document management Prepare, organize, and distribute documents and correspondence Assist with general administrative tasks and office projects Help coordinate office supplies, mail, deliveries, and other day-to-day office needs Assist with scheduling and other administrative coordination as needed Support advisors and other team members with administrative requests Maintain an organized and professional office environment Assist with preparing paperwork and documents for client meetings Handle sensitive and confidential information with professionalism and discretion Provide backup support at the front desk when needed Greet clients and visitors in a warm, professional manner Answer and direct phone calls and assist with general client inquiries when appropriate Work collaboratively with the entire team to ensure things get done efficiently and accurately Take on additional administrative projects and responsibilities as needed What We're Looking For The right person will be someone who takes pride in being the person the team can count on.
