Job Description

Job Overview We are seeking a dynamic and detail-oriented Administrative and Business Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our school office environment, providing exceptional support to our families, students, and staff and clients alike. The ideal candidate will be proactive, highly organized, and passionate about delivering excellent customer service. In this position, you will handle a variety of administrative tasks, manage office procedures, and serve as the first point of contact for visitors and callers. Your enthusiasm and efficiency will help foster a positive workplace atmosphere and support our company's growth. Responsibilities Work collaboratively with the other administrative and business office staff members to manage the school office, including supporting the work of the school coordinator, business assistant, and teachers. Greet visitors professionally at the front desk, ensuring a welcoming environment and efficient check-in process. Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette Input and maintain student information on state student databases and fee-based services databases while adhering to all deadlines for submission of student reports to the Minnesota Department of Education (MDE). Collaborate with teachers and staff to perform tasks as assigned by the school coordinator and lead teachers, including regular parent communication and school event and activity promotion to families and the community at large via email, newsletters, and the school's website and social media pages. Assist with supply and equipment purchasing. Monitor students' daily attendance and after-school plans. Serve as health aide (CPR and First Aid required) and administer to the daily nurse needs for students under the direction of the off-site school nurse. Prep and upload all APs and ARs to the outsourced finance manager - review end-of-month entries for both the school and the school's building association. Assist with record-keeping for the food service program. Perform general office management duties such as filing, photocopying, scanning, and organizing documents. Support calendar management by scheduling appointments, meetings, and personal assistant tasks for staff members Maintain confidentiality when handling sensitive information and ensure compliance with school data privacy policies
QUALIFICATIONS
Two-year college degree or equivalent hours of coursework, preferably in Microsoft Office or other computer and secretarial classes - or two years of office/administrative/business experience and the ability to pass a basic skills test. Ability to organize and coordinate all aspects of office operations. Must be detail-oriented, accurate, and able to work collaboratively with other administrative and business office staff. Previous clerical and business experience with the ability to prioritize, schedule, and anticipate needs. Computer experience with demonstrated proficiency in keyboarding, word processing, databases, spreadsheets, desktop publishing, and social media posting, with excellent written and verbal communication skills, as demonstrated by a computer skills test to be completed at the school. A strong customer service ethic and ability to work well in a fast-paced elementary building office with frequent traffic from students, teachers, staff, parents, and members of the rural Ability to organize and coordinate all aspects of the school's in-office business operations, including food service program record keeping and reporting. Must be versatile and have the ability to adapt to changing priorities while maintaining a high level of confidentiality. Must be able to do seated computer/keyboard work for extended periods of time. As the school health aide, the Administrative Office Staff is required to have or obtain First Aid and CPR certification within the first 90 days after hiring and provide first aid to students and staff as needed. Must be able to do seated computer/keyboard work for extended periods of time and be able to lift 40 pounds. Proven office experience with strong organizational skills and attention to detail Ability to work in Microsoft Office Suite (Word, Excel) and/or Google Suite (Gmail, Google as well as general computer literacy. Ability to manage multiple tasks efficiently while maintaining a positive attitude Prior clerical experience including data entry, filing, and customer support is highly desirable.
