LAW AND POLICY OPERATIONS COORDINATOR
Job Title Law and Policy Operations Coordinator Department Policy and Legal Reports To Chief Legal and Policy Officer Status Exempt Summary The Law and Policy Operations Coordinator provides coordinated administrative, operational, project, and communications support for MSBA's Policy and Legal departments. The position helps organize department workflows, maintain reliable business processes, coordinate special projects, support responsible use of technology, and deliver accurate, professional service and products. Success in the role depends on coordinating complex workflows and improving operational effectiveness, not simply providing clerical support. To support MSBA's commitment to exceptional service, high-quality products, and a productive work environment, employees are expected to perform the essential duties and responsibilities outlined in this job description and possess the necessary qualifications. Essential Duties and Responsibilities The Law and Policy Operations Coordinator contributes to the overall success of MSBA through the following responsibilities: Operations, Service, and Administrative Support Serve as the department's first point of contact and welcoming presence, providing professional service by phone, email, and in-person interaction; serve as backup for organizational phone calls. Provide administrative support to the Legal and Policy teams, compose and distribute organizational correspondence through appropriate communication channels, manage departmental office supplies, and handle incoming and outgoing mail. Prepare and manage school district invoices, policy service contracts, and related documentation accurately and efficiently; use MSBA's digital processes to distribute invoices and contracts. Use business data platforms to configure workflows, maintain accurate records, automate processes, support invoicing, maintain membership data, and track key information for internal and external stakeholders. Workflow and Project Coordination Coordinate special projects from planning through completion by organizing tasks, timelines, dependencies, documentation, status reporting, and follow-up across multiple concurrent workstreams. Assist department leadership in maintaining visibility into project status, priorities, handoffs, and work at different stages of the department workflow. Coordinate implementation and responsible use of MSBA's AI-assisted internal and member-facing tools, including documenting use cases and processes, organizing pilots, gathering user feedback, supporting adoption, and helping identify opportunities for workflow improvement. Participate in AI-assisted and other workflow improvement projects; help evaluate results, maintain project records, and support continuous improvement consistent with organizational direction and applicable safeguards. Policy, Legal, and Member Program Support Support Basic Plus district onboarding and policy update cycles by coordinatingcommunications and materials, maintaining archives, and distributing updated materials to Basic districts. Proofread and professionally edit outward-facing documents, both manually and electronically, for accuracy, grammar, spelling, punctuation, consistency, and presentation. Assist with member registration and communications for the Missouri Attorneys for Public Schools (MAPS) and prepare and monitor data and applications for the Board Secretary Academy. Coordinate webinar, conference, meeting, and workshop logistics, planning, registration, materials, and related communications. Marketing and Communications Development Support development and coordination of marketing and outreach for Legal and Policy services, programs, products, events, and special projects. Help develop marketing content and materials, maintain communications schedules and project assets, coordinate review and approvals, and support consistent messaging across communication channels. Collaborate with department and organizational staff to identify audiences, communication needs, and opportunities to improve awareness and use of Legal and Policy offerings. Other Responsibilities Perform other related duties as assigned to support team and organizational goals. Supervisory Responsibilities None required. The position coordinates projects and workflows but does not supervise employees unless responsibilities are formally changed. The person may have lead roles in the context of specific MSBA project teams. Education / Experience
High school diploma or equivalent required; college degree preferred. Experience coordinating administrative processes, projects, communications, or marketing activities preferred.

None required . Professional and Interpersonal Skills Maintain confidentiality of sensitive information. Communicate professionally, courteously, and effectively in person, in writing, by email, and by telephone, including with individuals who hold opposing views. Follow MSBA policies, procedures, and supervisory direction; demonstrate sound judgment and willingness to learn new tasks, systems, and processes. Coordinate multiple tasks and work with multiple individuals while preserving accuracy, responsiveness, and quality. Exercise initiative, organization, attention to detail, and follow-through in managing projects and recurring workflows. Computer Skills / Office Equipment Experience Strong computer skills, including Microsoft 365 applications such as Word, Excel, and Outlook, and proficiency with Adobe tools. Preferred experience with Docusign, Dynamics 365 CRM, AI platforms and applications, and project management or workflow tools. Ability to learn and use new computer applications, MSBA's association management software, and MSBA's electronic policy software. Ability to organize digital records, document business processes, and use technology to support accurate and efficient work. Language Skills Excellent verbal and written communication skills, including telephone and email communication. Ability to write routine communications and correspondence with a high degree of accuracy. Ability to review documents for grammar, spelling, punctuation, consistency, and clarity. Mathematical Skills Basic math skills. Reasoning Ability Ability to interpret a variety of instructions provided in written or oral form. Ability to prioritize and manage multiple tasks and projects without loss of quality. Ability to identify workflow issues, organize information, and recommend practical improvements. Employees are expected to work onsite from 8:00 a.m. to 5:00 p.m. unless the employee's supervisor approves a different schedule. Occasional irregular hours may be required. Nonexempt employees who work more than 40 hours in a workweek will be compensated in accordance with the Fair Labor Standards Act. Work Environment The work environment is typical of an indoor office setting. Potential distractions include ringing phones and people talking.
