CEO Administrative Assistant
Job Description
Steelville Manufacturing Co. is seeking a highly organized, professional, and proactive CEO Administrative Assistant to work closely with and support the day-to-day administrative and coordination needs of our CEO. This role is ideal for someone who is an excellent communicator, detail-oriented, comfortable with technology, and able to manage multiple tasks and conversations at the same time. You will play an important role in keeping customer, employee, and vendor communications organized and ensuring timely follow-ups throughout the CEO's work day.
KEY RESPONSIBILITIES
Assist with daily administrative and organizational tasks. Draft, review, and send professional emails, text messages, and other communications to customer, employees, and vendors, as instructed. Monitor incoming communications and promptly notify of important customer, employees, and vendors messages requiring attention. Draft responses and follow up on outstanding items to ensure nothing falls through the cracks. Organize customer and employee information, details, documents, contracts, and other project-related files. Maintain calendars, schedule appointments and meetings, and coordinate calls. Track deadlines, follow-ups, and important events Update information in in-house programs and other web-based business tools. Assist with presentations, spreadsheets, documents, data entry, file organization.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Light physical effort, comfortable working positions and conditions, long-term sitting with intermittent standing, and walking with generally pleasant working conditions Working at computer screen and sitting for long periods of time Ability to bend and kneel for filing tasks Wearing of appropriate Personal Protective Equipment when required/needed Frequent exposure to stressful situations as a result of human behavior and industry demands Basic computer/typewriter skill Ability to operate a copier and other common office machinery Ability to read small print with strong attention to detail and view/print blueprints and job related documents Good spoken and written communication skills Must be able to thrive in an autonomous and deadline-oriented workplace Maintain ability to think independently Maintain excellent memorization skills
QUALIFICATIONS & SKILLS
Excellent written and verbal communication skills. Strong organizational skills with excellent attention to detail. Professional and courteous when communicating with employees and customers. Comfortable drafting professional emails and messages. Ability to manage multiple tasks, deadlines, and conversations simultaneously. Proactive about following up and identifying items that require attention. Strong computer and internet skills. Comfortable learning and working with web-based tools and internal systems. Proficiency with Google Workspace (Gmail, Google Drive, Google Docs, Google Sheets, and Google Calendar) Microsoft Excel and Word, etc.. Experience with PowerPoint, Canva, or similar presentation/design tools

High school diploma or equivalency
