Job Description

Are you a detail-oriented professional who loves problem-solving and helping people? We are seeking a dedicated Community Association Administrative Assistant to join a local team. The purpose of this position is to assist the Community Association Managers and General Manager in the day-to-day business of managing community associations. You will serve as the "face" of their office, providing essential front-line customer service to their HOA clients and ensuring their neighborhoods run smoothly. Your day will be a mix of administrative precision and active community support.
Responsibilities include:
Client Relations:
Answer incoming phone calls, assist walk-in clients, and manage initial inquiries.
Operational Support:
Request and obtain vendor quotes, follow up on outstanding work orders, and maintain updated insurance certificates for all contractors.
On-Site Tasks:
Conduct routine property inspections, ticket vehicles when necessary, and run local errands (picking up signs, dropping off payments).
Communications:
Prepare and distribute community newsletters/flyers, and send welcome packets to new homeowners and board members.
Data Management:
Scan and save documents electronically and report city ordinance violations to the appropriate personnel.
Teamwork:
Complete special projects and provide general office coverage to support your colleagues.
Hours:
