Job Description
Position Overview
Coe-Brown Northwood Academy is seeking a highly organized, detail-oriented, and dependable Special Education Secretary to provide administrative support to the Special Education Department and Director of Special Education. This position plays an integral role in supporting the department's day-to-day operations and maintaining accurate, confidential, and timely special education records and documentation.
Primary Responsibilities
Coordinate and schedule special education meetings, including IEP meetings, evaluations, reevaluations, eligibility meetings, and other team meetings.
Communicate with parents/guardians, staff, sending districts, and related service providers regarding meeting dates, scheduling, and required documentation.
Prepare and distribute meeting notices and other special education correspondence.
Send, receive, organize, and track special education documents, including consent forms, evaluations, IEP documents, Written Prior Notices, progress reports, and other required paperwork.
Maintain systems for tracking outstanding documents, signatures, and required follow-up.
Maintain accurate and confidential electronic and paper special education student files.
File and upload documents promptly and ensure student records are complete, organized, and easily accessible.
Request and transfer special education records for students entering or leaving CBNA.
Maintain accurate student information within special education databases and other school information systems.
Assist with preparation and organization of records for audits, monitoring, reporting, and compliance reviews.
Maintain department calendars, spreadsheets, tracking systems, and other organizational tools.
Provide administrative support to the Director of Special Education and special education staff as needed.
Maintain strict confidentiality of student and family information in accordance with FERPA and applicable school policies and procedures.
Perform other related administrative duties as assigned by the Director of Special Education.
The successful candidate will:
Have excellent organizational skills and exceptional attention to detail.

Be able to manage multiple deadlines, meetings, documents, and priorities simultaneously.
Demonstrate strong written and verbal communication skills.
Be comfortable communicating professionally with parents, educators, administrators, and outside agencies.
Demonstrate proficiency with Google Workspace.
Maintain a high level of discretion and confidentiality when handling student information.
Be dependable, proactive, and able to work independently while also functioning as an integral member of the Special Education Department.
Have prior administrative or clerical experience; experience in a school or special education setting is strongly preferred, but not required.
