Non-Exempt Job Summary The Medical Assistant / Licensed Aesthetician is a dual-function clinical and aesthetic position responsible for supporting medical providers while also delivering professional aesthetic skincare treatments within the individual's scope of practice and in accordance with applicable state regulations. This position plays an integral role in both the clinical and patient experience sides of the practice. Responsibilities include assisting medical professionals with procedures, patient intake and preparation, clinical documentation, pre- and post-treatment care, and maintaining treatment areas, while also performing aesthetic services such as facials, chemical peels, HydraFacial, microdermabrasion, and other approved skincare treatments. The ideal candidate possesses strong clinical awareness, extensive skincare knowledge, exceptional communication and customer service skills, and the ability to create a highly professional and personalized patient experience. The individual must maintain appropriate state licensure/certification and work within all applicable regulatory requirements and established practice protocols. Duties and Responsibilities Medical & Clinical Support Assist medical providers with procedures in accordance with established standard operating procedures, medical protocols, and scope-of-practice requirements. Support practitioners with patient intake, rooming, treatment preparation, and pre- and post-procedure care. Review new patient intake forms and ensure relevant information is complete and appropriately documented. Prepare treatment rooms, supplies, equipment, and patients for scheduled procedures. Accurately and thoroughly document patient treatments, clinical information, plans of care, and relevant patient conversations in the practice management/medical record system. Maintain a thorough working knowledge of all medical protocols, standard operating procedures, safety requirements, and policies applicable to the position. Maintain patient confidentiality and comply with all HIPAA requirements and practice confidentiality policies. Recognize questions, concerns, or clinical matters that require escalation to a licensed medical provider and communicate them appropriately. Aesthetic Services & Patient Care Perform professional aesthetic treatments within scope of licensure, including facials, chemical peels, HydraFacial, microdermabrasion, and other approved facial and body treatments offered by the practice. Conduct appropriate skin assessments and customize treatments based on the patient's skin type, concerns, goals, treatment history, and established practice protocols. Maintain comprehensive knowledge of skin types, acne, skincare ingredients, treatment indications, contraindications, and applicable pre- and post-procedure protocols. Provide consistent, professional treatments in accordance with practice protocols, manufacturer guidelines, accepted certification standards, and state regulations. Educate patients regarding appropriate home skincare regimens, treatment plans, maintenance recommendations, and pre- and post-treatment care. Maintain appropriate sanitation, sterilization, infection-control, and treatment-room standards in accordance with applicable laws and practice policies. Properly operate and care for equipment and appropriately manage treatment products and supplies to support quality and cost control. Clean, sanitize, organize, restock, and prepare treatment rooms between patients. Patient Experience & Relationship Management Deliver an exceptional, welcoming, professional, and personalized experience throughout every patient interaction. Build strong professional relationships with patients through effective verbal and non-verbal communication, active listening, education, and follow-through. Ensure patients understand what to expect before, during, and after treatments and procedures. Handle patient questions, requests, and concerns professionally, promptly, and courteously. Maintain punctuality with appointments and perform services within established treatment times without compromising quality or patient experience. Identify opportunities to enhance the patient's overall treatment plan by understanding their broader wellness and aesthetic goals. Maintain a positive, solutions-oriented attitude and contribute to a collaborative and high-performing practice environment. Service & Product Knowledge Maintain comprehensive knowledge of all aesthetic, medical, wellness, and retail offerings available through the practice, including services the employee does not personally perform. Educate patients on appropriate services and products that may support their individual treatment goals. Recommend home skincare regimens based on patient needs and treatment plans. Appropriately introduce patients to complementary services and providers when additional treatments may help achieve their goals. Actively communicate current programs, promotions, treatment packages, memberships, and retail offerings when appropriate. Support established service, rebooking, retention, and retail performance expectations. Meet established retail and service performance goals as determined by management. Operational Responsibilities Be punctual and prepared for all scheduled shifts, appointments, meetings, and trainings. Maintain clean, organized, appropriately stocked treatment and clinical areas. Support efficient patient flow and collaborate with providers and other team members throughout the day. Remain flexible in supporting both the Medical Assistant and Aesthetician functions based on patient volume, provider schedules, and overall practice needs. Assist in other areas of practice operations as reasonably requested by management. Follow established pricing guidelines and obtain management approval before making unauthorized adjustments or exceptions. Participate in scheduled staff meetings, trainings, in-services, continuing education, and professional development activities. Attend external education or training as required and share relevant knowledge with the team. Position Requirements Current and active state Aesthetician/Esthetician license as required for services performed. Medical Assistant education, certification, training, and/or experience appropriate to the clinical responsibilities assigned to the position. Previous experience in a medical spa, dermatology, plastic surgery, aesthetic medicine, wellness, or similar patient-care environment strongly preferred. Strong knowledge of professional skincare treatments, skin types, skincare products, sanitation standards, and aesthetic treatment protocols. Ability to understand and consistently follow medical protocols, standard operating procedures, safety requirements, and provider direction. Strong clinical documentation and attention-to-detail skills. Excellent communication, listening, patient-education, and interpersonal skills. Exceptional customer service and patient experience orientation. Strong organizational and time-management abilities. Comfortable balancing independent aesthetic appointments with clinical support responsibilities. Ability to transition efficiently between clinical and aesthetic responsibilities based on practice needs. Basic computer proficiency and ability to accurately document within the practice's software and medical record systems. Ability to maintain strict confidentiality and comply with HIPAA requirements. Friendly, professional, polished, and approachable demeanor. Team-oriented with the ability to work effectively both independently and collaboratively. Solutions-oriented, adaptable, accountable, and willing to continuously learn. Commitment to world-class professionalism with patients, providers, colleagues, and external partners. Education & Experience Must hold and maintain all current state licenses and/or certifications required to perform assigned aesthetic services. Medical Assistant certification or equivalent clinical training/experience preferred or required based on applicable practice and state requirements. A minimum of 2-3 years of relevant experience in aesthetics, dermatology, plastic surgery, medical spa, wellness, or a related clinical environment is preferred. Experience supporting medical providers while independently performing aesthetic services is highly preferred. Ongoing continuing education and maintenance of all applicable licenses and certifications are required. PHYSICAL DEMANDS AND WORK ENVIRONMENT
The employee must be able to stand and walk for extended periods, sit as needed, and frequently bend, reach, stoop, and move throughout the clinical and treatment areas. The position requires frequent use of hands and fingers to perform aesthetic treatments, operate equipment, handle supplies, and complete documentation. The employee must be able to lift and carry supplies and equipment weighing up to approximately 25 pounds and assist with patient positioning as appropriate. The employee works primarily in a medical spa and clinical environment and may be exposed to bodily fluids, medical and aesthetic equipment, skincare products, cleaning agents, and other substances commonly found in patient-care settings. The employee must follow all infection-control, safety, HIPAA, and practice policies and use required personal protective equipment (PPE). DOL/FLSA CLASSIFICATION ASSESSMENT
This position is classified as Non-Exempt under the Fair Labor Standards Act (FLSA) and is eligible for overtime compensation in accordance with applicable federal and state wage and hour laws. Employees in this position are required to accurately record all hours worked and must receive approval from their supervisor before working overtime, when required by Company policy. The position primarily involves providing hands-on clinical, medical assistant, and aesthetic services in support of providers and patients. Duties are performed in accordance with established clinical protocols, practice procedures, safety standards, and the employee's applicable education, training, and professional licensure.
