Full Time Position Overview:
Miller Environmental Group (MEG) is seeking an Administrative Assistant to support daily branch operations. This role provides critical administrative, clerical, and operational support to both office and field teams, helping ensure projects, documentation, and internal processes run efficiently. The Administrative Assistant plays a key role in maintaining organized records, supporting payroll and accounts payable processes, assisting with system entries, and serving as a central point of contact for employees, vendors, and customers. Compensation & Benefits:
Starting pay: $22/hour+, depending on experience

Key Responsibilities:
Manage incoming calls and greet visitors in a professional and friendly manner
Sort, distribute, and manage incoming and outgoing mail (electronic and physical)
Scan, upload, and maintain project and office documentation, including customer and company system entries
Maintain compliance-related records, including job files and employee documentation
Support project file setup and ongoing documentation tracking for active jobs
Assist with timesheet collection, payroll hour entry, and coordination with centralized payroll
Process vendor invoices, reconcile purchase orders, and support accounts payable processes
Maintain office supplies, kitchen items, and office equipment to ensure operational readiness
Prepare basic correspondence, reports, and spreadsheets as requested
Provide general system entry support and assist employees with basic system navigation issues
Assist with preparation and submission of customer-required documentation (e.g., certificates of insurance, portal uploads, compliance forms)
Support subcontractor documentation and contract file maintenance as needed
Assist with administrative projects and other duties as assigned
Required Qualifications:
1-3 years of administrative, clerical, payroll support, bookkeeping, or customer service experience (or equivalent experience)
Must be at least 18 years old
High School Diploma or GED
Proficiency in Microsoft Office (Word, Excel, Outlook)
Strong organizational skills with attention to detail and accuracy
Ability to multitask and manage deadlines in a fast-paced environment
Strong communication skills, both verbal and written
Ability to work independently with minimal supervision
Basic problem-solving skills and ability to assist with simple system or user issues
Must pass a post-offer drug screen and background check in accordance with applicable law
Work Environment & Physical Demands:
Work is performed primarily in an office setting
Frequent sitting, typing, and use of computers and office systems
Occasional walking, standing, bending, and light lifting (up to 10 lbs)
Regular interaction with employees, vendors, and customers in person and via phone/email
Moderate noise level consistent with a professional office environment
