Sunday through Tuesday We are seeking an organized, detail-oriented, and proactive Administrative Assistant to join our team. The ideal candidate will support our daily office operations and ensure efficiency through effective administrative tasks. This role will involve providing clerical support, coordinating schedules, and handling various office functions. The Administrative Assistant will work closely with staff, management, and external partners to help maintain a smooth-running office environment.
Key Responsibilities:
General Office Support:
Answer and direct phone calls; handle inquiries and provide information when needed. Manage and maintain office supplies inventory, placing orders as necessary. Assist in preparing and organizing meetings, presentations, and documents. Coordinate logistics for internal and external meetings, including scheduling, room bookings, and preparing meeting materials.
Scheduling and Calendar Management:
Schedule appointments, meetings, and travel arrangements for management or team members. Maintain and update calendars, ensuring all appointments are prioritized and managed efficiently.
Communication:
Handle incoming and outgoing correspondence, including emails, letters, and packages. Communicate with clients, vendors, and internal team members professionally and effectively.
Document Management:
Prepare, proofread, and edit documents such as reports, memos, and letters. Maintain an organized filing system, both electronic and physical, ensuring documents are easily accessible.
Data Entry and Reporting:
Update and maintain databases, spreadsheets, and other internal systems. Assist in preparing reports and summaries as needed.
Office Operations:
Assist with day-to-day office management tasks, such as maintaining a clean and organized workspace. Support HR and finance teams with administrative tasks (e.g., employee records, expense tracking). Other Duties as

Provide support on special projects or additional tasks as directed by management.
Qualifications:
High school diploma or equivalent required; Associate's or Bachelor's degree preferred. Proven experience in an administrative or office support role. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or similar tools. Exceptional organizational and time management skills, with the ability to multitask and prioritize. Excellent written and verbal communication skills. Professional demeanor and ability to interact effectively with team members and clients. Attention to detail and problem-solving skills. Ability to handle confidential information with discretion. Knowledge of office equipment (e.g., copiers, fax machines, printers) is a plus.
Preferred Skills:
Experience with office management software or systems Basic knowledge of bookkeeping or accounting is an advantage. Strong interpersonal skills and ability to work in a collaborative team environment.
