Job Description:

The Senior Administrative Assistant will provide high-level administrative and operational support to the leadership team of the Office of Innovation and Commercialization at Binghamton University. This position supports the office's efforts to advance university research discoveries, intellectual property, technology commercialization, industry partnerships and entrepreneurial activities. This position serves as the key administrative liaison among faculty, researchers, university officers, external partners and other stakeholders and plays an important role in coordinating the day-to-day operations and activities of the office. The Senior Administrative Assistant works independently and exercises considerable judgment in managing multiple priorities, coordinating complex activities, maintaining confidential information, and ensuring timely follow-through on administrative and operational matters. The position reports to the Associate Vice President for Innovation and Commercialization.

Key Responsibilities:

Provide comprehensive administrative support to the Associate Vice President and the leadership team within the Office of Innovation and Commercialization. Manage and maintain calendars, schedule meetings, webinars, events, and conference calls. Assist with faculty workshops, information sessions, networking events, entrepreneurship program and other innovation related activities. Draft, proofread, and edit a variety of communications including memos, emails, agendas, briefing materials, presentations, correspondence, reports and other documents Maintain databases, spreadsheets, electronic files and other systems used to track office activities, partnerships, agreements, and outcomes. Assist in tracking performance measures and metrics. Coordinate office workflows, track action items, and ensure timely follow-up on assignments and commitments. Develop and maintain administrative procedures and systems to support efficient office operations. Exercise discretion and maintain confidentiality on all matters pertaining to the office and its stakeholders. Coordinate travel arrangements, reimbursements, purchasing and other administrative transactions Organize internal and external events, workshops, and conferences in collaboration with university departments and external partners. Monitor office budgets and expenditures and assist with financial reporting and reconciliation. Represent the AVP's office in a highly professional manner in person, by phone, and in writing. Oversee general office management, including ordering supplies, maintaining inventory, and vendor communication. Serve as the primary point of contact for visitors, screen incoming calls and emails, and direct inquiries appropriately.

Requirements:

Bachelor's degree or an equivalent combination of education and relevant experience. Minimum of five (5) years of progressive experience in an administrative or executive assistant role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and Zoom. Demonstrated ability to manage multiple priorities and projects in a deadline-driven environment. Excellent organizational, written and verbal communication skills. Strong attention to detail and demonstrated ability to maintain accurate records and documentation. Ability to exercise independent judgment, maintain confidentiality and handle sensitive information.

Additional Information:

Salary:

$60,000 Annually. Please note, this position involves a combination of collaborative/in-person and independent work and will require the incumbent to be onsite 100% of the time. Additionally, Visa sponsorship is not available for this position.
