CITY OF MAPLE HEIGHTS JOB OPENING
The City of Maple Heights is accepting applications for a full-time Administrative Assistant in the Finance Department. This position reports to the Finance Director and interacts daily with City staff, businesses, and the general public. The ideal candidate will possess excellent verbal and written communication skills, organization and time management skills, and analytical and problem-solving ability. They must also demonstrate the ability to work independently and collaboratively, prioritize and meet deadlines, and manage processes and data accurately. This is an in-office position, working at Maple Heights City Hall, Monday - Friday, 8:30 AM to 5:00 PM.
Responsibilities:
The Administrative Assistant is responsible for a variety of duties that support the City's operations and Finance team, including but not limited to: Manage the information desk at City Hall Greet and interact with visitors Assist with and troubleshoot issues, questions; ensure follow through is completed Provide customer service, research, resources, referrals and information for staff and the public Answer calls and emails; respond to inquiries or direct to appropriate resources for follow up Sort and process mail; receive packages Monitor office supplies and ordering for Finance Department Provide support during audits and projects Address inquiries from businesses, vendors, and others regarding finance transactions Use Excel to organize and manage data, reporting, analysis Use other Microsoft Office applications, especially Word and Outlook Use SSI/VIP system to process finance information, especially receipts Ensure compliance with relevant laws, regulations, policies Cross-train in various finance functions, which may include reconciling, analyzing, verifying Performing other duties as assigned.
Experience:
At least 3 years related experience or an equivalent combination of education, experience and training that corresponds with the job responsibilities (required). Experience with Software Solutions Inc. Visual Intelligence Portfolio- VIP (preferred).
Qualifications:
High School Diploma or equivalent (required). Solid understanding of office administration, basic bookkeeping and accounting practices, with strong proficiency in Microsoft Office (Excel, Outlook, and Word) and experience with data entry.
Pay rate:
This is a non-exempt position with a pay range of $14.42 -$35.12 per hour, commensurate with experience. Full benefits package, including medical, vision, dental, life insurance, as well as participation in the OPERS pension included.
