Duties & Responsibilities:

(Essential Functions of Position, Major Responsibilities, Summary of Key Duties, Special Assignments, Relationships) Greet Operations customers in a pleasant manner and directs customers accordingly. Receives calls; accurately records messages. Responds to two-way radio calls; relays messages accordingly. Processes routine correspondence and mailing for the purpose of documenting activities, providing written reference and conveying information. Assists project managers as needed. Maintains records for various compliance issues and inspections. Maintains district utility trends and costs, downloads to (B3); gas, electric, water, sewer, and phone bills. Transforms data into usable graphs, pivot tables and charts to display district trends. Types purchase orders requests; monitors receipt of goods and prepares receiving reports as needed. Research suppliers, equipment and contracts for the purpose of ensuring conformity to regulations and district guidelines. Processes insurance claims as needed for fire, theft and flood damage. Schedule a variety of activities as may be required for the purpose of meeting staff development needs and for efficient utilization of personnel, equipment and facilities. Processes Direct Pays. Processes incoming checks and cash deposits. Processes maintenance and Temp At Will payrolls. Assist the other secretary with asbestos management plan project binders; distributes updates to buildings. Assist with preventive maintenance as needed. Order vehicle fuel for Transportation, Maintenance and Pool vehicles; processes monthly reports. Maintains fobs and Gas Boy program records. Processes playground inspections. Process work orders via School Dude for technology repairs at Operations. Utilizes Docushare filing system for document archives. Maintains document files on server and shared google docs. Assist other Operations secretaries and personnel as needed. Other duties as assigned.

Physical Requirements of Position:

(HBV ? Yes ? No) Ability to lift and carry materials weighing up to 25 lbs.; occasionally lifting 50 lbs.; ability to bend, squat, and kneel. Ability to hear and understand speech at normal levels in person or on telephone; ability to communicate clearly. Ability to operate computer, calculator, copy machine, telephone, scanner, and other office equipment with dexterity and in a safe, efficient manner.

Special Qualification Required/Desired:

(Personal Qualities, Education, Skills Needed, Experience, Etc.) Must have a High School diploma or GED equivalency. Excellent attendance is required to perform all duties & responsibilities of this position successfully. Skilled in use of Microsoft Office; proficient knowledge of graphing/charts. Skilled in the use of formulas, calculation, percentages Ability to master specialized software associated with position responsibilities (UMPRO and B3). Ability to work under pressure, establish priorities, meet deadlines while maintaining a calm demeanor during stressful situations. Flexibility, self-starter, good communications skills both written and verbal. Great organizational skills, positive, personable, multitask, works well with others, attentive to detail, supports department initiatives.
