Overview We are seeking an accountable, detail-oriented, and proactive Administrative Assistant to serve as the face and voice of our financial advisory office. The ideal candidate is someone who can learn on the go, solve problems independently, and maintain high standards of accuracy in a regulatory environment. You will be responsible for keeping client scheduling up to date, processing critical account paperwork, and completing projects as assigned. We are a growing, independent financial advisory firm looking for a dedicated team member to join us, offering a comprehensive benefits package that includes health insurance, paid vacation and sick days, along with a 3% retirement match. The hours for this role are 9:00 AM-5:00 PM, Monday-Friday, in person at our office. We are closed on all bank holidays. Duties Manage multi-line phone systems with professionalism, ensuring clear communication and prompt assistance for callers Greet visitors at the front desk with friendly, courteous service while maintaining security protocols Perform data entry tasks accurately using spreadsheets, word processing, and productivity software such as Microsoft Office Organize and maintain digital filling systems to ensure quick retrieval of documents Assist with calendar management and scheduling appointments for advisors Provide exceptional customer service by responding to inquiries via phone or email promptly and professionally Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong computer literacy with experience in data entry, filing, proofreading, and document management Excellent organizational skills with the ability to multitask efficiently in a busy office environment Technical proficiency in office equipment such as multi-line phones, printers, scanners, and basic troubleshooting skills Exceptional phone etiquette combined with clear verbal communication for front desk interactions and client communication Ability to handle confidential information discreetly while maintaining high levels of accuracy in all tasks You will play a pivotal role in the success of our independent firm, working within a fast-paced environment that values autonomy, clear communication, and professional growth.
