Job Description

We are looking for an Administrative Assistant to support daily office operations for a Contract position based in Rhode Island. This role is ideal for someone who thrives in a busy setting, delivers attentive service to tenants and visitors, and stays organized while managing multiple priorities. The position requires strong administrative judgment, confident communication, and the ability to maintain composure in a fast-moving environment.
Responsibilities:
  • Manage front office and administrative activities to keep daily operations running smoothly and efficiently.
  • Respond to inbound calls and greet tenants or visitors with a service-focused approach.
  • Receive, document, and route tenant maintenance requests to the appropriate parties for follow-up.
  • Enter and maintain accurate records, updates, and property-related information within Yardi and other office systems.
  • Provide general clerical support such as filing, scheduling, correspondence, and document preparation.
  • Communicate clearly with a large tenant population while handling concerns with tact, patience, and sound judgment.
  • Support leasing-related administrative tasks when needed, including preparing materials and coordinating basic follow-up.
  • Adapt to a high-volume workplace by balancing shifting priorities and addressing issues in a timely manner.
