QIDP Coordinator Administrative Assistant:

This position will be under the direct supervision of the QIDP Coordinator. Responsible for providing routine administrative support for the Q-Coordinator and the QIDP Department. Helps with supply inventory and ordering, scheduling and setting up meeting rooms for all ISP/Prep/Discovery meetings. Responsible for inputting and updating tracking systems and spreadsheets for various categories related to the QIDP department. Is responsible for working cooperatively and professionally with other divisions and departments in a harmonious working relationship. Will work under moderate supervision with limited latitude for the use of initiative and independent judgement. Serves as the backup to the ISP Facilitator Assistant Essential Job Functions (EJFs): Attends work on a regular basis and may be required to work a specific shift schedule or, at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned. Assisting with preparations for the individuals' meetings including, mailing invitations, scheduling meetings room, scheduling of the ISP and Prep Meetings each year and revise when needed. Clerical Support with scribing/note taking for ISPs and other topics of ISPA meetings Inputting/updating trackers and spreadsheets for the QIDP Department Completing/updating ID/RC Assessments, ICAPs, and related documents for all new admissions, annually or when needed Ordering of supplies and creating work orders for items needed for the QIDP Department May train others including the ISPA Facilitator assistant on job duties to serve as a backup Works cooperatively and professionally with other departments, LARs, LIDDAs and other community stakeholders ensuring harmonious working relationships Knowledge, Skills and Abilities (KSAs): Knowledge in the use of printers, copiers, fax machines and phones

Knowledge of English grammar, spelling, punctuation

Skill in using a personal computer to create documents and reports.

Skill in the use of Microsoft Office systems to include TEAMs, Outlook, Excel, Word and PowerPoint.

Skill in using electronic records systems and/or databases.

Skill in clear, accurate, and timely documentation.

Skill in effective communication with individuals, families, and staff.

Ability to prepare and maintain records. Ability to utilize and revise tracking systems and spreadsheets

Ability to scribe/take notes during meetings using a laptop/computer Ability to quickly adapt to change.

Ability to communicate verbally and in writing in a clear, effective, and constructive manner. Ability to work independently and organize/prioritize work. Ability to organize information both orally and in writing.

Ability to understand and follow oral and written instructions.

Ability to work harmoniously, assertively, and professionally with staff at all levels and with Legally Authorized Representatives (LARs) and LIDDAs.

Registrations, Licensure Requirements or Certifications:

Must possess valid Texas driver's license or obtain it no later than 90 days after hire date. Applicants with an out-of-state driver's license must provide an original certified driving record from the state of driving license. Eligible driving record required based on HHSC Fleet Management policy.

Initial Screening Criteria:

High School diploma or GED required. At least two (2) years of experience in administrative support in an office, business, government, or professional setting

Experience in scribing meetings and data input

Experience working with

Microsoft Outlook, Excel, Word, PowerPoint, TEAMs Additional Information:

Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS List of Excluded Individuals/ Entities (LEIE). Males between the ages of 18 - 25 must be registered with the Selective Service. All State Supported Living Center Employees are subject to Random Drug Testing. Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
