Perform clerical and administrative duties including file creation, maintenance, and retention ensuring compliance with Smurfit Westrock policies as well as handling all incoming department mail can phone calls. Facilitate ordering and maintenance of department office supplies, maintaining proper inventory levels for designated areas Prepare and run various monthly reports Schedule, coordinate and manage meetings, conference calls, create power point presentations, training and related activities including all on-site logistics as needed Prioritize daily routines and be flexible to accommodate changing priorities Assist in payroll activities on a weekly basis and report payroll and time entry discrepancies to department lead Responsible for financial and budgetary compliance. Enter purchasing requisitions, purchase / travel card management, create statement of work, ensure purchasing approvals are completed in a timely manner, and work collaboratively with vendors and staff to resolve any purchasing or invoice issues Monitor Contractor ISN net world for company safety performance. Responsible for conducting business with integrity and respect, being accountable, and actively pursuing excellence to help achieve Smurfit Westrock core values.
What you need to succeed:
High School diploma or G.E.D. with equivalent experience Minimum 1+ years of administrative support, customer service, or safety support, preferably in a manufacturing environment. Ideal candidate will have several years of relevant and recent comparable experience. Experience with Workforce Timekeeping Systems and Attendance, SAP and JDE preferred. Strong aptitude in the MS Office Suite with advanced skills in MS PowerPoint and MS Excel. Strong interpersonal and customer service skills. Excellent written and verbal communication skills. Demonstrated successful track record of effective problem-solving. Possess strong collaboration skills with stakeholders across functions. Ability to set priorities, achieve deadlines, and manage multiple tasks at the same time. Demonstrates strong organizational and time management skills.
