JamesLandscaping.com Job Description We need an organized and detail-oriented Office Manager to join our design and build landscaping team. You will serve as a core point of contact for clients, coordinate project and consultation schedules for our designers and field crews, and manage our financial invoicing process. This is a full-time salaried position in office.
Office hours:
Monday - Thursday 7:00 AM - 5:30 PM Key Responsibilities Office Management & Administration
- Manage front-line communications , including answering incoming client calls, sorting emails, and greeting visitors in a professional manner.
- Maintain office efficiency by ordering supplies, managing vendor relationships, and keeping common areas and files organized.
- Support company leadership with HR onboarding paperwork, team meeting coordination, and routine administrative reporting. Scheduling & Operations
- Coordinate project calendars for landscape designers, sales consultations, and installation crews to ensure smooth project timelines.
- Prevent scheduling conflicts by tracking field crew availability and time off.
- Communicate schedule updates or weather delays promptly to both clients and field supervisors.
- Order Plants and Materials to support project deliverables. Invoicing & Financial Tracking
- Process project billings , including deposit requests, progress milestone invoices, and final project close-out charges.
- Review estimates and change orders to ensure itemized billing is accurate before sending invoices to clients.
- Track accounts receivable , follow up on late payments, and log incoming receipts using QuickBooks/LMN Qualifications & Skills 3+ years of experience in office management, administration, or bookkeeping.
Strong communication skills with a friendly, customer-first phone and email presence. Exceptional organizational skills and the ability to multitask in a fast-paced environment. Proficient with technology , specifically Microsoft Office Suite (Excel, Word, Powerpoint) QuickBooks CRM/Scheduling software (LMN Landscaping Software specifically would be a huge plus) Spanish speaking would be a plus, but is not mandatory. Knowledge of plants and landscaping design would be a plus, but can be learned on the job.

Pay:
$23.98 - $28.88 per hour Expected hours: 40.0 per week
