Immediately Job Description Assist special education staff with organizing special education records and processing ARD/IEP documents. Support educational diagnosticians, the special education coordinator, PEIMS coordinators, and the special education department in a variety of ways. Provide consistent and efficient assistance by documenting, maintaining, copying, filing, updating, and distributing special education records, paperwork, and notices to parents, students, school personnel, and staff. Bilingual applicants are strongly preferred and will receive priority consideration. Please include the languages you speak on your résumé or application. Education Required High school diploma or GED required Associate degree preferred Qualifications Strong organizational skills One to three years of experience with special education compliance preferred Ability to follow verbal and written directions Proficient in typing, word processing, email, spreadsheets, and file maintenance Ability to operate standard office equipment Strong verbal and written communication skills Excellent customer service skills Ability to work effectively with a variety of individuals and personalities Ability to maintain positive and cooperative working relationships Ability to work as part of a team Dependable attendance and attention to detail Ability to use good judgment and take initiative Ability to protect confidential student records and information Bilingual proficiency strongly preferred Job Type Description Follow all federal, state, local, and district policies and procedures related to special education. Perform general duties related to organizing, maintaining, and ensuring the accuracy and compliance of special education records. Maintain knowledge of and effectively use data systems specific to special education. Create, organize, update, and maintain student records, including IEPs, evaluation reports, ARD paperwork, eligibility documents, procedural safeguards, referrals, and other required forms. Collate and assemble special education referral packets and distribute documents, notices, and forms. Prepare documents and materials needed for ARD meetings. Create new student folders as needed. Maintain folders in the correct order according to district guidelines and supervisor directions. Organize and label file cabinets. Assist with filing, record retention, and the authorized purging of inactive records. Run weekly missing-record reports and submit them to the appropriate supervisor. Maintain forms, labels, and other materials needed by educational diagnosticians. Receive and direct incoming telephone calls, take messages, and route calls to the appropriate staff member. Work closely with campus and department secretaries, teachers, supervisors, administrators, parents, and other staff. Contact parents to complete surveys and accurately enter their responses into a spreadsheet. Participate in meetings and special events as assigned. Complete daily office-opening checks. Monitor shared office and copier supplies and place approved supply orders. Keep shared work areas organized. Assist with staff-recognition activities and other department duties as assigned. Maintain positive and cooperative working relationships while demonstrating teamwork in daily activities. Maintain the confidentiality of student records and information at all times. •
