Job Description

Position Description:
Administrative Assistant Triumph Youth Services is a residential treatment center with a fully accredited, non-profit Jr./Sr. High School, Triumph Academy. Triumph is team centered in all areas of the organization from administration to clinical treatment and education. The Administrative Assistant to the Administrative Manager works closely with the executive, administrative and treatment teams on current goals. The position handle staff files and quality assurance. The specific responsibilities include, but are not limited to the following: HR/Staff Support (65%) Coordinate New Hire paperwork, training and orientation Ensure all necessary paperwork, such as the I9 and BCI, are completed before/upon employee hire date (including weekly review of DACS) Prepare, Track and Notify employee and independent contractor licenses and training Maintain Employee files and training materials Track employee birthdays, tenure, awards Correspondence with all staff and notifications, including changes in policies & procedures Create and maintain checklist to support staff processes Support Time & Attendance prep for pay day Maintain program forms for staff use and staff mailboxes Support Monthly staff meetings and in-person trainings (including preparation) Take minutes for Admin Team Meeting - including quality assurance Prepare for regulatory Audits, reports and requirements Other duties as assigned Program Support (35%) Customer Service - Answer phone, manage front office Update the Triumph Calendar with appointments and activities Order and maintain supplies Food Coordination and purchasing Support Health and Safety Team Support UA collections Support the annual newsletter and other quality assurance requirements Support Accounts Payable Support Administrative, Treatment and Executive Teams Maintain confidentiality of staff, students, etc. Other duties as assigned Requirements Excellent communication skills Excellent customer service Ability to work independently within a team oriented organization BS degree or 3-7 years of experience in related field Intermediate or advanced level of MS Word and Excel Attention to detail Ability to maintain confidentiality of staff and clients
Minimum Qualifications/Competencies Core Competencies:
Working with others, providing appropriate services, assessing strengths and needs, advocating, providing individualized care, documentation, behaving professionally and ethically and professional development Must be 21 years of age or older unless otherwise specified in policy and procedure, peer staff, and/or approved by administration Must pass and maintain background screening Must respect authority Must possess a valid driver's license and update personal vehicle insurance Must have three written reference letters or contacts from persons of no relation Must be CPR and First Aid within 30 days of hire Must have valid Food Manager's permit within 2 weeks of hire Must submit to and comply with random drug testing Must comply with all State, Federal, and Triumph requirements for this position
