Graymont is currently seeking an Administrative Assistant for our Pilot Peak Plant in West Wendover, Nevada. The Administrative Assistant will manage several office duties and work closely with the management team. Accounting functions will be required such as payroll, accounts payable, accounts receivable, record keeping, reporting, receiving, and filing.
DUTIES AND RESPONSIBILITIES
Manage general office duties, such as interacting with visitors, vendors, contractors, employee's Maintain office supplies, mail etc. Assists site staff with administrative duties. Enter payroll time sheets and production information into JDE. Maintain employee files and track attendance / vacation balances Review, update, finalize, and distribute ODE reports in JDE. Support Graymont Safety initiatives. Safety meeting minutes, postings, organization schedule, Wellness program Support for creating work orders and Purchase orders / Requisitions in JD Edwards (JDE). Work with Corporate accounts payable, accounts receivable, and payroll departments. Support and maintain all office filing, plant files and records. Answer phones and respond to inquiries from customers and staff on location, hours of operations, directions and other day to day activities. Run daily updates and generate reports from scale system, JDE, Cognos and Excel. Perform quality control on data prior to uploading to JDE. Interaction with, Staff, Customers, Maintenance and Production personnel on a daily basis. Share duties and back-up for other office related duties.
QUALIFICATIONS
Minimum 2 years of experience in a fast paced, multi-tasking office environment. Ability to multi-task in a fast paced environment. Strong understanding and appreciation of deadlines and commitment to schedules. Excellent communication, teamwork and time management skills. Strong analytical skills and attention to detail. Working knowledge of Microsoft Office (Excel, Word, PowerPoint) and willingness to learn other software. Valid Driver's License Responsible to organize plant recognition events, Christmas Party, etc.
