Administrative Assistant / Floater Jupiter Learning Academy - Louisa, VA Do you love to laugh, play, learn, and share smiles with children and their families? Jupiter Learning Academy is growing, and our Louisa location is looking for a dependable, energetic, organized, and flexible Administrative Assistant / Floater to join our team. This is not a traditional desk-only administrative position. We are looking for someone who can confidently support the administrative needs of a busy childcare center while also stepping into classrooms when needed. Compensation commensurate with experience and education Benefits for Eligible Full-Time Employees Paid holidays Paid Time Off (PTO) Health benefits Tuition reimbursement Paid training and professional development Opportunities for growth Supportive and team-oriented work environment Primary Responsibilities The Administrative Assistant / Floater plays an important role in supporting our families, teachers, management team, and daily center operations.
Responsibilities may include:
Greet children, parents, visitors, and staff in a friendly and professional manner Answer and direct incoming telephone calls Respond to parent inquiries and provide excellent customer service Assist prospective families with center information and enrollment questions Schedule and assist with childcare center tours Follow up with prospective families after inquiries and tours Assist with enrollment paperwork, registration, and maintaining accurate child records Maintain organized electronic and physical files Assist with attendance records and daily administrative documentation Monitor and respond to emails and parent communications Assist families with Procare and other center communication systems Maintain confidentiality of child, family, and employee information Assist management with reports, forms, correspondence, and other administrative tasks Ensure required paperwork and documentation are completed and properly filed Help maintain an organized, welcoming, and professional front office Support center leadership with day-to-day operational needs Communicate professionally with families, employees, vendors, and community partners Assist with special events, parent communications, enrollment initiatives, and center activities Perform additional administrative duties as assigned Classroom / Floater Responsibilities Flexibility is essential for this position. The Administrative Assistant must be willing and able to provide classroom support when needed, including: Covering teacher lunches and breaks Assisting classrooms during staff absences Supporting classrooms during high-traffic transition periods Maintaining appropriate supervision and child-to-staff ratios Assisting teachers with classroom routines and activities Interacting positively with children Helping maintain a safe, clean, and nurturing environment Following all Jupiter Learning Academy policies and Virginia childcare licensing requirements This position may require working with children ranging from infants through Five Years old.
Qualifications The ideal candidate will:
Have previous administrative, office, customer service, or childcare experience Be comfortable working directly with children and families Possess excellent verbal and written communication skills Have strong organizational and time-management skills Be dependable and punctual Be able to prioritize and manage multiple responsibilities Have strong attention to detail Be comfortable learning and using childcare management and office software Have experience with Microsoft Office, email, and general computer systems Maintain professionalism and confidentiality Work effectively both independently and as part of a team Have a positive attitude and willingness to help wherever needed Education & Requirements High school diploma or equivalent required Must successfully complete required background checks Must be willing to complete required childcare training CPR/First Aid certification preferred or willingness to obtain Previous childcare or early childhood education experience is preferred Previous administrative/customer service experience is preferred Physical Requirements Because this position includes classroom support, candidates must be able to: Sit, stand, walk, bend, and move throughout the center Get up and down from the floor while interacting with children Assist with classroom activities and routines Lift and carry children or classroom materials as required by the position Who We're Looking For We want someone who understands that working in early childhood education takes patience, flexibility, teamwork, and heart.
