Administrative Assistant I - Commonwealth Attorney

Job Description

GENERAL DEFINITION
Performs administrative and technical work, which involves the analysis and evaluation of various projects as may be assigned.
ORGANIZATIONAL RELATIONSHIP
Work is performed under regular supervision of the Department Head or designee. Supervision is exercised over subordinate personnel as may be assigned.
TYPICAL TASKS
Answers telephones, handles calls, and ensures that customers, vendors and employees are handled in a professional and courteous manner; Maintains and updates accurate records and reports; Tapes meetings and transcribes minutes as required; Investigates inquiries, policy issues or complaints and prepares reports for proper action; Prepares annual reviews of programs and presents proposals for review and action; Prepares and maintains records for accounting procedures related to certain programs; Serves as an office assistant to the department head and other departmental staff; Prepares time heets; May perform billing and receiving of monies for deposit; Maintains calendar, makes appointments; May collect revenues and post into ledger accounts within the computer systems; Sets up and supervises the maintenance of filing systems; Maintains and updates specific documents for the County; Disseminates appropriate information to affected groups regarding all aspects of plans or documents; Assists with implementation of departmental programs; Serves as a general assistant as needed; Performs other duties as may be assigned.
ESSENTIAL KNOWLEDGES, SKILLS AND ABILITIES
Knowledge of planning and departmental practices is required. Ability to provide accurate and concise information. Ability to maintain positive working relationships with personnel and the public. The successful individual must have a working knowledge of activities and must be willing and able to carry out various tasks associated with the provision of services. Must be able to communicate effectively both orally and in writing. Must have a working knowledge of computer systems in order to maintain plans and to general correspondence. Ability to gather and analyze facts on a variety of subject matter and assemble and present concise reports and presentations. Assumes primary responsibility for assigned routine functions or task. Undertakes management of office projects on an assigned basis. Exercises considerable initiative, independent judgment and discretion in performing complex office and administrative duties and keeping informed of operating policies and procedures and county code regulations; ability to utilize office software and email.
TRAINING, EDUCATION AND EXPERIENCE
Education equivalent to graduation from a two-year college with additional course work at the senior college level, supplemented by three or more years of relevant work experience. Additional experience may substitute for the education requirement.

PHYSICAL DEMANDS
Must be able to occasionally lift 20 pounds, sit for long periods of time at a desk, and operate a computer and general office equipment.
WORK ENVIRONMENT
Work is generally performed in an office environment.

$33,827.00 - $43,975.00 per year
