About Middle Peninsula Northern Neck Behavioral Health (MPNN BH) Connecting people to developmental and behavioral health services to create opportunities for healing, growth, and recovery. Our organization provides services designed to help members of our community achieve their individual goals. MPNN BH has over 60 distinct programs to aid and support all ages and many situations. Job Summary Under general supervision, provides clerical, administrative, and data entry support for the Counseling Center. Work involves receiving and entering client intake information and scheduling appointments. The Administrative Assistant is responsible for answering phones and directing calls and clients, maintaining accurate medical and financial records, processing billing inquiries and responding to/triaging client requests. This position requires independent judgment, discretion, confidentiality, and a high degree of initiative. Considerable tact and professionalism are necessary in frequent interactions with the public and staff. Reports to the Clerical Supervisor. Job Responsibilities Answers telephones; directs clients and calls to appropriate staff; provides general information about services and fees; refers clients to other service agencies. Provides clients with information on Mental Health and Substance Use services; schedules appointments with clinicians. Serves as administrative support for scheduled and same-day access appointments; assists with assessments and triage of calls and walk-ins; initiates reminder calls for all medical services. Completes intake and financial assessment data entry; verifies insurance coverage and works with credentialing staff on insurance validation and cost center setup. Performs a variety of administrative duties including typing court documents, letters, and reports; preparing and reconciling daily service tickets and collections; maintaining and purging client charts; and filing. Maintains and reviews both paper and electronic client records for accuracy and completeness. Receives and processes lab reports and other sensitive clinical documentation. Enters billable and non-billable services into database systems; posts payments; prepares balancing and auditing reports; reconciles financial reports with service tickets, timesheets, and billing rosters; updates financial assessments and client records as necessary. Delivers, processes, and distributes incoming and outgoing mail. Maintains records and filing systems. Other Duties, as assigned Job Requirements Essential Must pass all required Background Checks. Must possess a valid Virginia Driver's License with reliable transportation and driving record acceptable to agency insurance carrier. Must obtain a TB test with satisfactory results within 30 days of employment, and yearly thereafter as required by licensing authority. Education High School Diploma or equivalent required, supplemented by coursework in administrative support, secretarial sciences, or a related field. Experience A minimum of 2 years of administrative or clerical experience in a clinical or health services setting is preferred.
