Nestled among the trees, the campus provides a warm, open, and airy environment that encourages exploration and learning. The school emphasizes hands-on education, fostering critical thinking, creativity, and strong communication skills in its students. As the only elementary school on Bainbridge Island accredited by the Northwest Association of Independent Schools (NWAIS), The Island School is committed to maintaining high educational standards. Our Front Office Coordinators keep the systems and spaces behind the scenes running smoothly — accurate student records, a well-stocked and functioning office and workroom, and a building that's ready for students and staff every day. This role is a strong fit for someone who takes pride in precision, follow-through, and quietly keeping things organized so teachers and families never have to think twice. This position reports to the Director of Operations.
Key Responsibilities:
Front Desk & Community Support Serve as front desk receptionist during afternoon hours (12pm-5pm), greeting students, parents, staff, volunteers, and community members in person, by phone, and by email. Manage complex or sensitive inquiries with empathy, diplomacy, and strict confidentiality. Coordinate with the Morning Office Manager on student health plans and medication; respond to student illnesses and injuries with real-time care and communicate promptly with parents. Cover lunch breaks as needed. Records & Database Management Maintain the school's student information database (DaySchool), including attendance records, contact and demographic updates. Create and maintain paper student files; process new student files and archive files for students who leave. Respond to student record release requests and manage archived records in accordance with HIPAA and Washington State law. Administrative Support Enter incoming checks on the check log; collect and distribute mail; schedule mail holds before school closures. Prepare board packets for distribution before board meetings and save final versions as PDFs to the shared drive. Building Support Execute facility closing procedures and support general building security and upkeep.
Required Experience, Skills and Qualities:
Experience in a data entry, records management, or office administration role. High attention to detail and accuracy, particularly with confidential student and family records. Comfort learning and working within a student information database (training provided). Strong organizational skills and reliability in maintaining recurring administrative tasks. Ability to pass a background check. Commitment to The Island School mission.
Ideal Experience, Skills and Qualities:
Familiarity with FERPA/HIPAA-related recordkeeping practices in a school setting. First aid/CPR certification or willingness to obtain it. Comfort with basic troubleshooting of office equipment (copiers, printers). Prior experience in a school or nonprofit office environment.
FTE, Compensation & Schedule:
This position is scheduled 12:00 PM-5:00 PM Monday through Friday, from August to June (July off). Compensation is $25 an hour.
