We are a growing multi-location plastic surgery practice seeking a dependable, organized, and proactive Administrative Assistant. This position supports surgical chart preparation, employee onboarding, HR coordination, compliance tracking, and general practice operations. This is a nonclinical position and does not require a nursing license. The ideal candidate is highly organized, accurate, comfortable handling confidential information, and willing to assist wherever operational support is needed. Responsibilities Assemble patient charts using established checklists. Print, copy, scan, file, and organize required paperwork. Confirm that administrative chart documents are present and escalate missing or conflicting information. Prepare new-hire paperwork, onboarding materials, schedules, badges, and first-day supplies. Maintain employee personnel files and update physical records at all locations. Track employee licenses, certifications, health records, and other compliance documents. Email employees regarding upcoming expirations and follow up until updated documentation is received. Assist with staff birthdays, celebrations, recognition events, and office activities. Maintain administrative trackers, spreadsheets, supply lists, and filing systems. Travel between locations to update files, deliver materials, or complete assigned projects. Cross-train as a Patient Care Coordinator to provide front desk and scheduling coverage when needed. Assist leadership with additional administrative and operational projects. Qualifications Two or more years of administrative, medical office, HR support, or similar experience preferred. Excellent organization, accuracy, follow-through, and attention to detail. Able to manage multiple assignments and meet deadlines with limited supervision. Professional and discreet when handling employee and patient information. Comfortable using email, spreadsheets, electronic records, and general office equipment. Dependable, proactive, flexible, and willing to learn new responsibilities. Able to travel between our Seattle, Lynnwood, and Kirkland locations as needed. Medical office, surgical practice, compliance, onboarding, or front desk experience is preferred. This role requires someone who takes ownership of assignments, maintains organized records, follows up consistently, and can shift between administrative projects and patient-facing support based on practice needs.
Pay:
From $25.00 per hour Expected hours: 40.0 per week
