Job Description

Position Summary:
The Safety Assistant provides administrative, organizational, and documentation support to the safety department. This role focuses primarily on maintaining accurate records, coordinating safety activities, preparing reports, and supporting communication and compliance processes. This position works closely with the Safety Manager to organize safety initiatives, monitor follow-up actions, and ensure that safety-related information, documentation, and processes are effectively maintained. Through strong attention to detail and effective coordination, this role helps keep the Safety Department organized, responsive, and aligned with company policies and regulatory requirements.
Accountabilities:
Maintain safety files, SOPs, records, logs, forms, and electronic databases. Organize and track safety training, certifications, orientations, and renewals. Schedule safety meetings, inspections, audits, training sessions, and appointments. Prepare safety meeting agendas, take minutes, and distribute follow-up action items. Assist with incident, injury, near-miss, and hazard-report documentation. Compile safety data and prepare routine reports, summaries, and presentations. Track corrective actions and follow up with responsible personnel to support timely completion. Assist with onboarding paperwork and safety orientation coordination for new employees and contractors. Monitor inventory levels of safety supplies, PPE, forms, signage, and other materials; identify shortages and replenish stock as needed. Prepare and submit supply orders, receive deliveries, and ensure all safety materials are properly organized, stored, and readily available. Process safety-related invoices, purchase orders, supplies, and department expenses. Help coordinate inspections, permits, licenses, and regulatory documentation. Maintain safety bulletin boards, email communications, and other employee communications. Support internal audits and external inspections by gathering requested records. Provide general administrative assistance to the Safety Manager and department. Handle confidential employee and incident information appropriately. Create, format, and update PowerPoint presentations for safety meetings, training sessions, management reviews, inspections, and other internal communications. Perform other administrative duties as assigned.
Required Skills:
5 years of administrative, office, compliance, or safety-support experience. Strong organizational and time-management skills. Proficiency with Microsoft Office, spreadsheets, databases, and document management systems. Experience preparing reports, maintaining spreadsheets, and coordinating schedules. Ability to maintain accurate records and meet deadlines. Strong attention to detail and follow-through. Ability to handle confidential information professionally. Strong customer service and interpersonal skills. Ability to manage multiple priorities with limited supervision. 70-80% administrative and coordination duties. 20-30% safety documentation and department support
Physical Demands & Work Environment:
Regular office setting with standard indoor lighting, climate control, and moderate noise. Occasionally visit warehouse. Prolonged sitting and computer use. Repetitive hand/finger movements for keyboard and/or mouse and phone use. Physical effort is needed to move, lift, or carry office equipment or supplies. Occasionally lift 50 lbs. Must wear steel-toed shoes when entering or working in the warehouse. Voucher provided

$20.00 per hour Expected hours: 20.0 per week
