Introduction The Village of Maple Bluff, a distinguished lakeside community in the heart of Dane County, is seeking a motivated and capable professional to serve as our next Deputy Clerk & Deputy Treasurer. This is more than an immediate vacancy. The position is intentionally structured as a long-term career and succession opportunity for someone interested in building a career in municipal government. The successful candidate will work closely with Village leadership and gain progressively greater responsibility, training, and exposure to Clerk and Treasurer functions over the next several years. The Village anticipates a Clerk/Treasurer leadership transition within approximately five years, and this position is intended to serve as the primary internal development pathway toward those future responsibilities. We are seeking someone who is organized, dependable, comfortable with increasing responsibility, willing to learn, and interested in growing with the organization. Position Summary The Deputy Clerk & Deputy Treasurer is a key administrative and financial position supporting the efficient operation of Village government. Responsibilities include assisting with official records, elections, financial processes, Village Board and committee operations, utility billing, resident services, technology, and interdepartmental coordination.
Primary responsibilities include:
Serving as Deputy to the Village Clerk and Treasurer and performing assigned duties in those areas. Preparing meeting agendas, minutes, notices, packets, and official records. Supporting and progressively assuming greater responsibility for election planning and administration. Processing payroll and supporting accounts payable, accounts receivable, financial reporting, reconciliations, audit preparation, tax-related processes, and budget development. Managing utility billing and related administrative processes. Providing professional and responsive service to residents. Supporting technology, vendor coordination, process improvement, and administrative operations. Participating in Village meetings, special projects, and cross-department initiatives. Pursuing professional education and certifications and progressively assuming more complex Clerk and Treasurer responsibilities. The position requires strong judgment, accuracy, organization, discretion, initiative, follow-through, and a commitment to professional public service. Salary Information Starting salary is $67,000-$77,000 annually, dependent on qualifications. The position is also eligible for a hiring and retention incentive of up to $9,000, payable as follows: $2,000 upon successful appointment and commencement of employment. $3,000 following successful completion of the one-year probationary period. $4,000 following successful completion of two years of employment.
Additional benefits include:
Health and dental insurance options. $9,600 insurance opt-out incentive for eligible employees. Wisconsin Retirement System employer contributions. Vacation and sick leave. 12 paid holidays annually. Professional development, training, and certification opportunities. Job Details This is a full-time, exempt position reporting to the Deputy Administrator / Clerk / Treasurer. Work is performed primarily in an office environment, with occasional off-site responsibilities. The position generally operates during normal municipal business hours; however, periodic evening or weekend work is required for elections, meetings, special projects, and other Village responsibilities. The position requires the ability to lift or carry materials weighing up to 25 pounds and requires a valid Wisconsin driver's license. The successful candidate will serve a one-year probationary period. Selected finalist(s) will be required to successfully complete the Village's pre-employment assessment process, which includes interviews, drug screening, medical examination, psychological assessment, reference checks, and a comprehensive background investigation. Because the position involves public funds, confidential information, and access to sensitive systems, applicants must be able to satisfy the Village's related pre-employment requirements. Qualifications An associate's degree or higher in Public Administration, Finance, Accounting, Business Administration, or a related field is preferred. A bachelor's degree is desirable for candidates interested in long-term progression into senior Clerk/Treasurer responsibilities. Candidates should have at least two years of progressively responsible experience in one or more of the following areas: Municipal operations. Finance or accounting. Elections. Records administration. Administrative support. Comparable professional experience involving transferable skills. Municipal experience is preferred but is not required for an otherwise highly qualified candidate who demonstrates the ability and willingness to learn and grow. Current Clerk or Treasurer certification is desirable but not required. The selected employee will be expected to pursue relevant professional education and credentials as part of the Village's succession and development plan.
Successful candidates should demonstrate:
Strong written and verbal communication skills. Accuracy, organization, discretion, and attention to detail. Ability to manage competing priorities and deadlines. Sound judgment and practical problem-solving skills. Ability to learn complex systems, regulations, and processes. Comfort with technology and process improvement. Ability to work collaboratively with residents, employees, elected officials, vendors, and outside partners. Interest and ability to assume progressively greater responsibility.
