Job DescriptionThe Office Services Assistant provides excellent service and will assist teams with tasks like office supply inventory and general mail room assistance. You will be responsible for maintaining all mail room equipment and keeping it in proper working order for employee use, maintaining accurate tracking and reporting for areas of responsibility, and will be the primary backup for the receptionist position. Duties and ResponsibilitiesReceives and distributes incoming mail and packages.

Maintains inventory of office supplies and anticipates supply needs; ensures prompt ordering and receipt of supplies.

Maintains mailroom equipment by completing preventive maintenance, troubleshooting failures, calling for repairs, monitoring equipment operation and purchasing meter funds.

Maintains communication and relationships with vendors.

Serves as primary Office Services contact for designated remote locationsBackup to receive, log, and scan inbound checks for client-facing teamsActs as backup receptionist Approves invoices from various vendorsManages shred bins and schedules availabilityAssists with various projects as neededQualificationsHigh school diploma, some college preferredTwo or more years of administrative experience in a fast-paced, professional services environmentWorking knowledge of mail processes, postage machines, copiers, and other office equipmentProficient in Microsoft Office applicationsMust be willing to work in-office 5 days per weekMust be able to stand for extended periods, bend and stoop frequently, reach to overhead cabinets and mail slots, lift and carry packages up to 20 pounds, and operate mailroom equipment like sorting machines, which may require hand dexterity and reaching movements.
